We are seeking a reliable and detail-oriented Data Entry Clerk to accurately enter, update, organize, and maintain company information in databases, spreadsheets, and internal systems. The Data Entry Clerk will be responsible for maintaining accurate records, reviewing information for errors, processing documents, and supporting administrative and operational teams.

The ideal candidate has excellent attention to detail, strong computer skills, good organizational abilities, and the ability to work efficiently while maintaining a high level of accuracy.

Key Responsibilities

Data Entry and Record Maintenance

  • Enter data accurately into databases, spreadsheets, and company systems.
  • Update existing records and maintain current information.
  • Review data for accuracy, completeness, and consistency.
  • Identify and correct data entry errors.
  • Compare information from multiple sources to verify accuracy.
  • Organize and maintain electronic and paper records.
  • Perform routine data quality checks and corrections.
  • Maintain appropriate filing and record-retention procedures.

Document Processing

  • Enter information from invoices, forms, applications, reports, receipts, and other documents.
  • Process and organize incoming documentation.
  • Scan, upload, rename, and electronically file documents as required.
  • Convert information from paper or other formats into digital records.
  • Ensure documents are properly labeled and stored.

Administrative Support

  • Prepare spreadsheets, reports, lists, and summaries.
  • Assist with creating and maintaining databases.
  • Retrieve information and provide records to authorized employees.
  • Support other departments with data-related administrative tasks.
  • Respond to routine internal requests for information.
  • Assist with special projects and other administrative duties as assigned.

Quality Control

  • Review entered information for spelling, formatting, numerical, and other errors.
  • Follow established data entry procedures and quality standards.
  • Maintain consistent formatting and naming conventions.
  • Investigate discrepancies and obtain clarification when necessary.
  • Report recurring data problems to supervisors.
  • Protect sensitive and confidential information.

Confidentiality and Compliance

  • Maintain confidentiality of customer, employee, financial, and company information.
  • Follow company policies regarding data security and privacy.
  • Use systems and records only for authorized business purposes.
  • Follow established procedures for handling sensitive documents.

Required Qualifications

  • High school diploma or equivalent.
  • Previous data entry, administrative, clerical, office, or customer service experience preferred.
  • Strong typing and computer skills.
  • Excellent attention to detail and accuracy.
  • Ability to work with spreadsheets and databases.
  • Strong organizational and time-management skills.
  • Ability to follow written and verbal instructions.

Preferred Qualifications

  • 1–2 years of data entry or administrative experience.

  • Experience working with large volumes of records or documents.
