Position Summary: The General Agency Services Specialist is a cross-functional role responsible for delivering high-quality, consistent support throughout the group benefits client lifecycle. This position is designed to be flexible, with team members trained across quoting, onboarding, implementation, renewals, and ongoing service. The role supports producers, clients, and internal teams to ensure an efficient, accurate, and seamless experience that aligns with General Agency workflows and expectations. This would be an in-office role  that can be based in our Fort Worth, Austin, or Houston, TX offices).

Essential Tasks:

  • Prepare and deliver group benefit quotes, including medical and ancillary lines of coverage
  • Analyze plan designs and rate proposals to support producer strategy and client needs
  • Collaborate with producers and account teams to ensure quote requests are clear, accurate, and timely
  • Maintain effective communication with external quoting partners or platforms as needed
  • Manage all aspects of group onboarding, ensuring seamless setup for new and renewing clients
  • Track progress and proactively communicate with clients, producers, and internal teams
  • Act as a liaison between the client and carrier/vendor during the onboarding process to resolve delays or documentation gaps
  • Facilitate internal handoffs and confirm group activation milestones
  • Coordinate renewal activities, including quote requests, plan reviews, and implementation of selected changes
  • Process mid-year updates such as eligibility changes, plan design modifications, or contribution updates
  • Ensure timely execution and documentation of all renewal and amendment processes
  • Maintain renewal calendars and internal workflow systems to support visibility and accountability
  • Serve as the first point of contact for service inquiries related to billing, claims, enrollment, and compliance
  • Work collaboratively with internal teams and external partners to resolve service issues
  • Act as a liaison to ensure clear and timely communication between the client and carrier/vendor
  • Maintain accurate client records and case documentation to support seamless service delivery
  • Support internal enablement by training new hires and producers on GA systems, tools, and procedures
  • Assist in the development and maintenance of process documentation, workflows, and service guides
  • Serve as a subject matter expert for internal teams on GA best practices
  • Participate in process improvement initiatives

Experience and Education:

  • 2+ years of experience in employee benefits, group insurance, or a related support role
  • Knowledge of the group benefits lifecycle, including quoting, enrollment, implementation, and renewal processes
  • Excellent interpersonal skills and the ability to serve as a liaison between multiple stakeholders
  • Strong organizational and time-management skills with attention to detail
  • Exceptional written and verbal communication skills
  • Ability to adapt to changing priorities and support a cross-functional service model

Preferred Qualifications:

  • Experience within a General Agency, brokerage firm, or carrier support team
  • Familiarity with quoting platforms, enrollment systems, and workflow tools
  • Understanding of funding arrangements and group benefit plan design strategies
  • Bilingual (English/Spanish) is a plus

Licensing and Credentials:

  • Active Life & Health License required

Systems:

  • Proficient with Microsoft Excel, Word, PowerPoint, and Outlook
  • Applied Epic experience preferred, but knowledge of similar Account Management System (AMS) is acceptable

Physical Requirements:

  • Ability to lift 25 pounds
  • Repeated use of sight to read documents and computer screens
  • Repeated use of hearing and speech to communicate on telephone and in person
  • Repetitive hand movements, such as keyboarding, writing, 10-key
  • Walking, bending, sitting, reaching and stretching in all directions
