Executive Assistant & Administrative Services Manager

*This is a hybrid-remote role that requires onsite work at our North Austin, TX headquarters.*

 

Position Summary

Velocity Credit Union is seeking an experienced, highly organized, and proactive Executive Assistant & Administrative Services Manager to serve as a trusted partner to our President/CEO, Executive Leadership Team, and Board of Directors. This highly visible role combines executive-level support with leadership of the Credit Union's administrative support function, ensuring exceptional service, operational excellence, and effective governance support across the organization.

 

What You Will Do

  • Provide executive-level administrative support to the President/CEO and Executive Leadership Team.
  • Manage complex calendars, travel arrangements, meetings, and executive communications.
  • Coordinate Board of Directors and committee meetings, prepare agendas and materials, maintain official records, and record meeting minutes.
  • Lead and develop the administrative support team, including coaching, performance management, workload coordination, and process improvement.
  • Develop and maintain administrative standards, procedures, and best practices to support organizational effectiveness.
  • Coordinate executive projects, strategic initiatives, and confidential assignments requiring sound judgment and discretion.
  • Manage corporate administrative programs, including vendor relationships, memberships, and other executive support functions.
  • Plan and coordinate employee and corporate events.
  • Build strong relationships with executives, Board members, employees, regulators, vendors, and community partners while maintaining the highest level of professionalism and confidentiality.

 

What We Are Looking For

  • Bachelor’s degree in business administration, Communications, or a related field preferred, or an equivalent combination of education and experience.
  • Seven or more years of progressively responsible executive administrative experience, including direct support of a President/CEO, Executive Leadership Team, or Board of Directors.
  • Prior supervisory or leadership experience required.
  • Exceptional organizational, communication, and project management skills.
  • Advanced proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
  • Ability to exercise sound judgment, maintain confidentiality, anticipate executive needs, and successfully manage multiple priorities in a fast-paced environment.
