About the role

KLDiscovery is looking for a highly organized, business minded Executive Assistant to serve as a trusted right hand to the CEO and the executive leadership team. This is more than a calendar and travel coordination role. You'll also help drive internal communications, shaping how senior leader messaging engages employees across the company. It combines hands on executive support with the writing and coordination that keep leadership on the same page.

Day to day, you'll manage executives' time and logistics, keep the team on top of its commitments, and write the messages that go out under leadership's name, always with discretion.

What you’ll do

Executive support. Stay ahead of what the CEO and leadership team need so their time goes to what matters most. Manage complex, dynamic calendars, coordinate domestic and international travel, prepare for meetings, and handle confidential matters with discretion.

Corporate and internal communications. Write and edit communications for the CEO and leadership team including company wide messages, coordination of all hands meetings, and town-hall talking points, organizational announcements, leadership updates, and change communications. Keep tone consistent across the executive office, and work with People & Culture and Marketing so internal messaging lands at the right time.

Leadership coordination and follow-through. Keep the leadership team's routines running: regular leadership meetings, priority tracking, and follow up on commitments and dependencies. Own the agendas, materials, and action items for leadership meetings, operating reviews, offsites, and Board meetings, and flag risks or missed handoffs early.

Process improvement and AI enablement. Streamline how the executive office runs across Microsoft 365, Teams, Outlook, SharePoint, Copilot, and Claude. Build the templates, trackers, and repeatable workflows, including AI assisted drafting and meeting notes, that cut down on administrative busywork.

What success looks like. Executives whose time and logistics run smoothly, communications that stay clear and consistent, and a leadership team that's more accountable and drops fewer handoffs.

What you bring
  • 6+ years supporting C-level or senior executives as an executive assistant, executive business partner, or in a comparable role

  • Demonstrated command of complex calendars, confidential communications, executive logistics, and competing priorities

  • Corporate or internal communications experience, including writing and editing executive and company wide communications and translating strategy into clear internal narrative

  • Strong project management, follow through, and stakeholder management, with experience coordinating executive meetings, leadership updates, or Board of Directors materials and logistics

  • Advanced proficiency with Microsoft 365, including Outlook, Teams, PowerPoint, and SharePoint, and practical fluency with AI tools such as Microsoft Copilot or Claude

Experience in technology, SaaS, legal technology, or a similarly complex environment is a strong plus, as is prior work as a strategic executive assistant, executive business partner, or chief-of-staff-style partner. Experience building operating cadences or priority-tracking systems, a background in employee engagement or change communications, and prior exposure to Board, investor, or governance processes all set candidates apart.

The right person is equal parts executive assistant and communicator: a highly organized operator who can also write in an executive voice. They bring order to messy situations, handle heavy workloads discreetly, earn the trust of senior leaders, and keep everyone informed.
