Where You Come In
This is a rare opportunity to join Luma as a foundational Executive Assistant supporting our Head of Marketing and Head of Sales. As an operational architect and strategic force multiplier, you will play a critical role in driving our go-to-market engine by managing complex, high-velocity logistics and calendars. If you are a high-agency builder who thrives in the organized chaos of a startup and takes extreme ownership of operational details, this role offers a front-row seat to the frontier of creative AI.

What You'll Do
This is not a reactive, maintenance-focused administrative role; it is a 0-to-1 opportunity to design and execute the operational backbone for our GTM leadership. 

You will:
  • Own and manage complex, diverse, and rapidly shifting calendars for the Head of Marketing and Head of Sales, proactively resolving scheduling conflicts before they escalate.
  • Coordinate all aspects of comprehensive global travel logistics, ensuring seamless itineraries and handling last-minute changes with calm precision.
  • Practice ruthless prioritization to optimize the executives' time, acting as a strategic gatekeeper and force multiplier.
  • Build and streamline administrative processes and communication channels from scratch to support a high-velocity GTM organization.
  • Collaborate cross-functionally with Product, Research, and Operations teams to facilitate key leadership alignments and meetings.
  • Handle highly sensitive and confidential information with absolute discretion, sound judgment, and professionalism.


Who You Are

  • Experience: 5+ years of professional experience as an Executive Assistant, with a proven track record of supporting executives.
  • Startup DNA: Experience working in fast-paced, high-growth startups or similarly chaotic, large corporate environments where you navigated ambiguity with ease.
  • Logistical Mastery: Exceptional attention to detail and a demonstrated ability to manage complex calendars and multi-faceted travel logistics.
  • High Agency: A proactive "builder" mindset with a history of creating administrative systems from scratch and taking extreme ownership of outcomes.
  • Calm Under Pressure: Ability to handle last-minute changes, high-velocity demands, and complex scheduling conflicts with calm precision.
  • Discretion: Impeccable judgment and discretion when handling sensitive company and partner information.


What Sets You Apart (Bonus Points)

  • Prior experience supporting Sales or Marketing leaders in a generative AI or creative tech company.
  • Familiarity with modern collaboration tools such as Notion, Slack, Figma, and Google Workspace.
  • A deep passion for the creative potential of AI and Luma's mission to expand human imagination.
  • Located in the SF Bay Area or Los Angeles.

Compensation
The base pay range for this role is $145,000 – $180,000 per year.
