As an Executive Assistant in the Revenue organization, you will play a pivotal role in supporting the Head of Sales and Head of Customer Success at Apollo. Your primary focus will be on ensuring smooth day-to-day operations, efficient meeting planning, and proactive organization for both executives. Additionally, you’ll partner closely with the EA to the CRO on revenue-wide initiatives—including but not limited to the annual Revenue Kick Off (RKO)—helping drive alignment and execution across the broader go-to-market (GTM) organization. This role is Remote in the U.S.

Key Responsibilities

Executive Support

  • Manage the active calendars of the Head of Sales and Head of Customer Success, ensuring alignment across internal and external priorities.
  • Anticipate scheduling needs, prepare agendas, and ensure executives are equipped with the right context and materials.

Meeting Coordination

  • Plan, organize, and execute leadership team meetings, all-hands, and cross-functional sessions.
  • Prepare agendas, take detailed notes, and ensure timely follow-up on action items.
  • Support executive prep for internal and external meetings, including customer and partner engagements.

Logistics & Operations

  • Coordinate travel arrangements, accommodations, and itineraries for Sales and Customer Success leaders.
  • Manage event logistics, including dinners, offsites, and team gatherings.
  • Assist with operational processes that keep the GTM teams running smoothly.

Collaboration

  • Partner with the EA to the CRO on revenue-wide initiatives (e.g., RKO, quarterly planning, GTM alignment sessions).
  • Work cross-functionally with leaders in Sales, Customer Success, Marketing, and other departments to ensure smooth coordination and follow-through.

Special Projects

  • Support key GTM projects and initiatives as needed, including project management, event coordination, and operational support.
Requirements
  • Experience: 4+ years in an administrative or executive support role, preferably within a fast-paced, high-growth SaaS or technology company.
  • Organizational Skills: Exceptional organizational abilities with strong attention to detail and the ability to manage multiple priorities seamlessly.
  • Interpersonal Skills: Strong relationship builder who can partner effectively with executives, peers, and cross-functional stakeholders.
  • Communication: Excellent written and verbal communication skills, with the ability to craft clear and professional correspondence.
  • Problem-Solving: Resourceful and proactive, with a solutions-oriented mindset.
  • Confidentiality: Ability to handle sensitive information with discretion.
  • Deadline Management: Comfortable working in a fast-paced environment with ambitious goals and timelines.
  • Tech Proficiency: Proficiency with Google Workspace (Calendar, Docs, Sheets, Slides) and a willingness to learn new tools and apps (e.g., Notion, Slack, Zoom).

The listed Pay Range reflects base salary range, except for sales roles, the range provided is the role’s On Target Earnings ("OTE") range, meaning that the range includes both the sales commission/sales bonus targets and annual base salary for the role. This pay range may be inclusive of several career levels at Apollo and will be narrowed during the interview process based on a number of factors, including the candidate’s experience, qualifications, and location. Applicants interested in this role and who are not located in the US may request the annual salary range for their location during the interview process.
