The Role

The Executive Assistant provides comprehensive administrative, operational, and project management support to the Executives. This pivotal role enables the effectiveness of the executives and fosters a positive and productive employee experience across the three executive teams. A successful person in this position is a meticulous planner, a proactive problem-solver, and a strong culture facilitator. 

Responsibilities

Executive Administrative Support:
  • Manage a wide range of administrative duties for the Executives, including handling active calendars with both internal and external stakeholders
  • Coordinate complex travel arrangements and process expense reports
  • Compose and prepare internal correspondence, ensuring clear and timely communication
  • Keep the Executives well-informed of their upcoming commitments and responsibilities, following up proactively
  • Oversee the shared calendars for each Executive’s team to streamline meeting coordination
Operational & Project Management:
  • Independently manage and execute special projects and initiatives as assigned by the Executives
  • Develop and own the agendas for each Executive’s Leadership and All-Hands meetings aligning topics with company news, upcoming launches, and leadership priorities.  Track & follow up on action items from these meetings
  • Track and manage OKR / goal alignment processes for each Executive’s team
  • Track and manage the cadence and channels of internal communications within each Executive’s team to ensure information is cascaded effectively
  • Create and prepare presentation decks and other internal documentation as needed
Team Culture & Engagement:
  • Act as a key ambassador for creating and maintaining a positive team culture
  • Plan and execute thoughtful virtual and in-person events for each Executive’s team to foster team bonding, learning, and connection
  • Partner with Sr. Workplace Manager to develop and implement a strategy for uplifting the remote work experience for each Executive’s team
  • Brainstorm and implement solutions to improve team synergy and workflows
  • Collaborate with other Executive Assistants to share successful programs and create opportunities for cross-team engagement through joint events
  • Partner with Sr Dir, L&D to incorporate a learning and development focus into team events to promote engagement and growth
Desired Skills & Experience
  • A minimum of 7 years of experience in an executive administration, project management, or a related capacity
  • Proven ability to act as a team player who can build and maintain productive working relationships across an organization
  • Demonstrated experience in handling sensitive and confidential company information.
  • Exceptional calendar management skills, with experience coordinating complex executive meetings
  • Event planning experience
  • Strong proficiency with Google Suite, Microsoft Office, and a variety of online tools, including spreadsheets and presentation software. Demonstrated experience in incorporating Artificial Intelligence into daily work to improve efficiency
  • A resourceful, proactive, and intellectually curious individual who thrives in a fast-paced environment
  • Exhibits sound judgment with the ability to effectively prioritize and make decisions. 
  • Strong culture facilitator who can act as an ambassador for creating and growing a positive work experience and team culture
  • Experience implementing new ideas effectively
Base Compensation Range

$90,500 - $113,100

Base salary is one component of total compensation. Employees may also be eligible for an annual bonus or commission. Some roles may also be eligible for overtime pay.

The above represents the expected base compensation range for this job requisition. Ultimately, in determining your pay, we’ll consider many factors including, but not limited to, skills, experience, qualifications, geographic location, and other job-related factors.
