Shield AI is seeking a highly experienced Events Logistics Manager to own and scale our global logistics program in support of tradeshows, product launches, and high-visibility moments around the world. This role is critical to ensuring that Shield AI’s technology is showcased reliably, compliantly, and on time—often under tight deadlines and in complex international environments.
The ideal candidate is a builder and operator: someone who thrives in hands-on execution while also designing durable, repeatable systems. You bring deep expertise in international freight and customs, strong cross-functional collaboration skills, and a passion for defense and aerospace technology. You are comfortable managing day-to-day logistics details while building long-term relationships with vendors, freight forwarders, customs brokers, and internal stakeholders across regions.
What you'll do:
- Global Events Logistics Program
- Design, own, and continuously improve a highly efficient, reliable global logistics program to support Shield AI’s tradeshows, product launches, and strategic events worldwide.
- Plan and execute complex domestic and international shipments, including sensitive, high-value, or oversized equipment, ensuring on-time delivery and return.
- Develop standardized processes, timelines, and playbooks for event logistics across regions.
- Cross-Functional Partnership
- Partner closely with Field Marketing Managers and Business Development leaders globally to understand event objectives, timelines, and logistics requirements.
- Collaborate with Brand/Creative teams to ensure booth assets, demos, and materials arrive in pristine condition and are set up according to brand standards.
- Work with Procurement to source, negotiate, and manage cost-effective freight, shipping, drayage, and booth production contracts.
- Customs, Compliance, and Risk Management
- Research, interpret, and navigate customs regulations and import/export requirements across global markets.
- Ensure all shipments are fully compliant with domestic and international trade regulations, export controls, and company policies.
- Anticipate and mitigate risks related to customs delays, regulatory changes, geopolitical factors, or last-minute event changes.
- Vendor & Stakeholder Management
- Build and maintain strong relationships with freight forwarders, customs brokers, event production agencies, and venue partners worldwide.
- Manage vendor performance, service levels, and budgets to ensure reliability and cost efficiency.
- Act as the primary point of contact for logistics troubleshooting during live events and critical launch moments.
- Operational Excellence
- Track budgets, timelines, and shipment statuses, providing clear communication and updates to stakeholders.
- Capture lessons learned after each event to improve processes, reduce costs, and increase reliability over time.
- Support scaling efforts as Shield AI’s global event footprint grows.
Required qualifications:
- 8-10+ years of experience in logistics, supply chain, or freight management roles.
- 4+ years of experience working with an event production agency or events-focused logistics role, ideally supporting industrial, aerospace, or hardware-heavy customers.
- Extensive hands-on experience coordinating complex international shipments and navigating global customs regulations.
- Proven ability to manage tight deadlines, shifting priorities, and high-stakes events.
- Strong organizational skills with exceptional attention to detail.
- Excellent communication and stakeholder management skills across functions and geographies.
