Description

The Sales Coordinator will be responsible for aiding the Group Sales Department and providing support in achieving sales goals in ticketing and total revenue. This position will help assist all events including, but not limited to; group events, park events and birthdays. He or she will work closely with the entire sales and revenue team to use established booking policies and procedures to ensure the greatest revenue while maintaining an excellent standard for guest satisfaction. In addition, the Sales Coordinator will provide general administrative support for the Group Sales and Revenue Department by assisting with contracts, bookings, phone calls, site visits, logistics, ordering supplies and other tasks as assigned.

Responsibilities:

  • Execute day of coordination for all groups
  • Organize all groups/birthday packets with tickets, meal wristbands, etc.
  • Take payments for groups and birthdays
  • Receive all calls and emails for birthday requests and book accordingly
  • Input all group and birthday information in Sales CRM and Point of Sale
  • Oversee logistics and ensure all events run smoothly from start to finish
  • Communicate with group and birthday clients to receive final numbers and payment
  • Ensure that all events are properly planned, communicated, staffed and completed within timeline
  • Greet groups and birthdays at check in
  • Ensure that our Guests have a memorable experience all while keeping a smile and Texas-Friendly attitude
  • Trace each account for the most effective date for follow-up on payments, final numbers
  • Obtain, document and route all necessary information on booked groups, including final numbers, catering and billing information in Tripleseat and Accesso
  • Update all account statuses in our CRM as LOA Sent, Booked and Closed Won at the appropriate time
  • Active involvement in industry associations, chambers and other local community outreach
  • Work closely with all departments such as Food and Beverage to ensure that all details are communicated to ensure a successful event
  • Prepare and submit weekly and monthly reports as requested by your manager in a timely manner
  • Attend weekly sales meetings and one on ones
  • Complete other duties and special projects as assigned by management

Requirements

Qualifications:

  • Event Coordinating Experience desired, but not required
  • Commitment to delivering excellent Guest service
  • Outstanding interpersonal and communication skills; ability to convey information clearly and concisely to clients and other departments
  • Excellent planning, organization, time and project management skills, with keen attention to detail on quality and service
  • Proficient in Microsoft Word and Excel
  • Able to stand/walk for extended periods of time in high temperatures and/or rain as events take place
  • May be required to lift at least 20-50 lbs.
  • May be required to be exposed to direct sunlight, hot temperatures, or rain.
  • Must be able to multi-task and be flexible in a fast-pace environment
  • Must be able to work well with others
  • Must be able to communicate effectively
  • Able to represent Typhoon Texas professionally, at all times, both internally and externally
