Description

The HR & Office Coordinator supports the HR function across administrative, onboarding, and compliance-related tasks, while also serving as the on-site point of contact for the Dallas office. This role is responsible for guest and new hire experience, day-to-day administrative support, and coordination of recurring HR processes. This person will work closely with the HR Manager and local office leaders, providing a professional, welcoming presence for in-person interactions while building the operational foundation needed for future growth within the department.

Primary Responsibilities

• Serve as the on-site point of contact for the Dallas office, including welcoming new hires and guests.

• Manage office access (key fobs, guest coordination) and ensure required labor law postings are current.

• Handle incoming packages and deliveries, general office upkeep, and IT ticket submissions for new hire equipment needs.

• Coordinate office supplies, vendor relationships, and swag inventory for the Dallas office.

• Prepare new hire workspaces and laptops ahead of start dates.

• Support a smooth first-day experience, including office tours, headshots, and welcome lunches.

• Coordinate offboarding logistics for Dallas-based departures, including equipment return and shipping to IT.

• Coordinate new hire paperwork (I-9, background checks) and serve as backup for scheduling onboarding sessions.

• Assign and track completion of required trainings (e.g., OSHA, anti-harassment) and maintain the training log.

• Maintain the HRIS (Paylocity) and support related Ajera updates across all employee life-cycle processes.

• Track, file, and audit employee compliance documentation, ensuring electronic files remain accurate and up to date; assist with related HR reporting and audit requests.

• Support benefits administration, including open enrollment logistics.

• Support workers’ comp claim intake and documentation.

• Draft routine internal communications and support scheduling for HR-led meetings.

• Support the recruiting team with staffing-related activities, including scheduling interviews.

• Respond to employment verification requests.

• Support performance review cycle logistics, including reminders and tracking submission status.

• Help maintain the employee handbook and HR SharePoint content.

• Support employee engagement initiatives and company-wide events.

• Maintain strict confidentiality regarding all HR-related matters and documentation.

• Complete additional projects as requested by the HR Manager and local office leaders.

Requirements

• Bachelor’s degree preferred; high school diploma required.

• Ability and willingness to be on-site 5 days a week in Plano, TX.

• 6+ months to 3 years of administrative and/or HR experience (internship experience counts).

• Familiarity with HRIS systems (Paylocity experience a plus).

• Basic understanding of labor law concepts, with interest in staying current on HR practices.

• Detail-oriented with strong analytical and problem-solving skills.

• Service-minded team player, with a focus on accuracy and timeliness.

• Strong written and verbal communication skills.

• Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook, SharePoint).

• Comfortable managing multiple recurring deadlines while working independently day-to-day, under remote guidance from the HR Manager
