About the Role 

The Human Resources Operations & Technology Specialist is responsible for supporting the efficient operation of the Human Resources function through HR technology administration, employee lifecycle processing, data management, benefits and leave administration, compliance, and process improvement.

This position serves as a key administrator of the organization’s Human Resources Information System (HRIS) and is responsible for maintaining accurate employee data, optimizing HR workflows, supporting system functionality, and ensuring HR processes are completed accurately and timely. The HR Operations & Technology Specialist partners with HR, Payroll, Finance, managers, employees, and external vendors to deliver an efficient and consistent employee experience.

 

Key Responsibilities

HR Technology & HRIS Administration

  • Serve as a primary administrator and subject matter resource for the organization's HRIS and related HR technology platforms.
  • Maintain employee records, organizational structures, workflows, security roles, system configurations, and other HRIS data.
  • Ensure the accuracy, completeness, and integrity of employee data across HR systems.
  • Process and audit new hires, terminations, transfers, promotions, compensation changes, supervisor changes, and other employee status changes.
  • Identify opportunities to automate or streamline HR processes and workflows.
  • Assist with HRIS enhancements, system implementations, integrations, testing, upgrades, and configuration changes.
  • Troubleshoot HRIS issues and coordinate with system vendors or internal stakeholders to resolve problems.
  • Generate recurring and ad hoc HR reports and support workforce data analysis.
  • Conduct routine HR data audits and resolve discrepancies.
  • Support managers and employees with HR technology questions and system navigation.

 

Human Resource and Administration

  • Serve as the lead HR processor for employee lifecycle transactions, including new hires, status changes, transfers, promotions, terminations, and personnel action forms.
  • Maintain accurate and compliant electronic employee records.
  • Coordinate employee onboarding and offboarding activities.
  • Manage employment verification requests.
  • Maintain HR documentation, forms, templates, and administrative processes.
  • Support the performance management process, including system administration, tracking, and reporting.
  • Coordinate with HR leadership to ensure employee transactions are completed accurately and within established timelines.
  • Coordinate with Payroll to resolve discrepancies involving employee compensation, deductions, benefits, and status changes.
  • Submit HR-related payroll inputs and employee changes.

 

Benefits and Leave Administration

  • Administer employee benefit programs, including health, dental, vision, life insurance, and 401(k) plans.
  • Process enrollments, qualifying life events, terminations, deductions, and benefit changes.
  • Conduct routine benefits audits and reconcile HRIS and carrier information.
  • Coordinate and support the annual benefits open enrollment process.
  • Administer and track employee leave programs, including FMLA and other applicable leave.
  • Serve as a resource to employees regarding benefits enrollment, eligibility, and HR system processes.

 

Compliance and Reporting

  • Assist with maintenance and updating HR policies, procedures, and related documentation.
  • Ensure file management meets compliance standards and legal requirements.
  • Support ACA reporting and compliance, as well as overtime reporting. 
  • Assist with unemployment claims and state workforce commission inquiries.
  • Support workers' compensation, administration and recordkeeping.

 

New Hire Orientation

  • Manage the onboarding process and ensure timely completion of all documentation.
  • Coordinate and participate in first-day orientation sessions.
  • Oversee the issuance of employee ID badges and onboarding materials.
  • Other duties as assigned.
Qualifications

Qualifications

  • Bachelor's degree in Human Resources, Business Administration, Organizational Management, Information Systems, or a related field preferred.
  • Demonstrated experience working with Human Resources Information Systems (HRIS); Paycom experience strongly preferred.
  • SHRM-CP, PHR, or HR technology certification preferred.
  • Three to five years of progressive HR experience. Experience on a HRIS Data Entry team, or HRIS integration team is preferred.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in MS Office applications, especially Word, Excel, and Power Point.
  • Ability to maintain confidentiality and handle sensitive information with discretion. 
  • Bilingual in Spanish preferred
  • Paycom experience preferred
