POSITION: HUMAN RESOURCES ASSISTANT

FLSA STATUS: NON-EXEMPT

JOB SUMMARY: The HR Assistant provides support to the HR department in various tasks including but not limited to recruitment, onboarding, employee relations, benefits administration, leave administration, policy interpretation and HRIS maintenance. In collaboration with the Director of Human Resources, maintains policies, procedures and programs that will create a great place to work for employees.

ESSENTIAL JOB FUNCTIONS: Reasonable accommodations may be made to enable individuals with

  •  Drive the recruiting flow for all non-leadership roles. Ensure candidates are being effectively moved through the various stages of recruitment and reduce the time to fill for all vacancies.
  •  Build local partnerships with various schools or other venues to increase pipeline for candidates.
  •  Partner with regional resources to organize and lead onsite job fairs at the community.
  •  Conduct all pre-employment activities with candidates to ensure smooth transition from candidate to employee.
  •  Execute the established onboarding process to create personalized experiences for new hires and ensure they are setup for success.
  •  Schedule and lead new hire orientation to cover key topics related to the community, human resources, and benefits.
  •  Ensure new hires and managers complete all onboarding activities and required compliance training.
  •  Provides support to team members and leaders on use of HRIS system, including helping with time reporting and time off requests, answering questions, and assisting with training efforts. 
  •  Assist with all employee inquiries and issues related to policy interpretations, benefits or leave administration, job clarification, or other inquiries. Refer inquiries to PEO as appropriate.
  •  Maintain accurate and confidential employee files in accordance with local, state, and federal guidelines.
  •  Assist with employee recognition programs and events.
  •  Assist with employee offboarding process.
  •  Execute tasks associated with team member retention and engagement.
  •  Assist leaders, at the direction of the HRD, with performance documentation and conversation.
  •  Assist HRD with communication strategies, such as, updating HR newsletter, setting up townhall meetings, etc.
  •  Prepare, organize, secure, scan, file and maintain all human resource reports, general correspondence, legal documents, financial reports, team member personnel records, and other related documents.
  •  Support and assist the Director of Human Resources with projects as assigned.

Requirements

JOB REQUIREMENTS:

  •  High school diploma or equivalent. Associate degree in human resources or related field highly preferred. 
  •  Prefer a minimum two (2) years office experience, preferably in human resources. Healthcare or hospitality experience helpful.
  • SHRM-CP preferred.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

  •  Knowledgeable in administrative practices and procedures, as well as laws, regulations and guidelines pertaining to Equal Employment Opportunity, Department of Labor regulations, labor relations, employee relations, benefit administration, workers compensation and OSHA. 
  •  Ability to plan, organize, develop, implement, and interpret programs, goals, objectives, policies, and procedures at all levels.
  •  Must have the ability to act as liaison between team members and management or PEO. 
  •  Solid organizational skills including attention to detail and multi-tasking skills.
  •  Must be able to function efficiently despite distractions and interruptions. 
  •  Ability to read, write and speak English sufficient to perform job duties and to interact and communicate with residents, vendors, and team members.

ENVIRONMENTAL AND PHYSICAL ACTIVITY REQUIREMENTS: The physical activities of this position 

constantly require effective talking, hearing, sitting, walking, and standing functions. The position also often 

involves sedentary work where sitting is required most of the time, with occasional standing or walking. The position also is often requires exerting up to 20 pounds of force occasionally and/or 10 pounds of force 

frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Must be able to perform activities with close visual acuity, such as reading a computer screen and reading print 

material. The functions of this position are conducted in a temperature-controlled environment.

INTELLECTUAL/EMOTIONAL REQUIREMENTS: The occupant of this position must be able to perform the responsibilities of the position well under pressure. The position requires adaptability to performing a variety of duties, often changing from one task to another without loss of efficiency or composure. This position requires the ability to deal with and find resolution to problems and maintain a productive working relationship with team members and may be interrupted frequently to meet the needs and requests of others. It also requires adaptability to fluctuate between priorities daily while being responsive to needs as they arise.

OSHA Category Classification:

Category III: Tasks that involve no exposure to blood, body fluids, or tissues, and Category I tasks are not a condition of employment. The normal work routine involves no exposure to blood, body fluids, or tissues, although situations can be imagined or hypothesized under which anyone, anywhere, might encounter potential exposure to body fluids.
