Role Overview & Impact

The Human Resources Coordinator provides administrative and operational support across the Human Resources department. This entry-level position supports onboarding, employee records, HR system transactions, recruitment coordination, employee communications, and general HR department operations.

The HR Coordinator serves as an initial point of contact for routine employee and applicant questions and ensures that requests are directed to the appropriate HR team member. The successful candidate will be highly organized, service-oriented, comfortable using technology, and committed to maintaining the confidentiality and accuracy of employee information.

Key ResponsibilitiesCore ResponsibilitiesRecruitment & Talent Coordination
  • Support candidate communications using approved templates.
  • Track candidate status and documentation in the applicant tracking system.
  • Assist with pre-employment requirements.
  • Maintain accurate recruiting records and candidate files.
  • Support job fairs, community outreach, internship activities, and recruiting events.
  • Provide a professional, timely, and welcoming candidate experience.
Onboarding & Offboarding
  • Coordinate pre-employment and onboarding activities after an offer has been accepted.
  • Send new-hire forms, instructions, orientation schedules, and required notices.
  • Track completion of pre-employment requirements, background checks, employment documents, and onboarding tasks.
  • Coordinate the timely completion and retention of Form I-9 documentation in accordance with established procedures.
  • Coordinate with hiring managers, Payroll, Information Technology, Learning and Development, and other departments to support new-hire readiness.
  • Confirm that new employees receive appropriate system access, equipment information, schedules, and introductory materials.
  • Support new-hire orientation logistics and attendance tracking.
  • Follow up on incomplete forms or onboarding requirements.
  • Initiate separation checklists after receiving appropriate authorization.
  • Schedule exit interviews or distribute exit questionnaires.
HR Compliance & Documentation
  • Assist with personnel-file, I-9, benefits, training, and HR data audits.
  • Track required documents, acknowledgments, certifications, and renewal dates.
  • Assist with preparing records for internal and external audits.
  • Follow established HR policies, procedures, record-retention requirements, and confidentiality standards.
  • Escalate incomplete, inconsistent, or potentially noncompliant documentation.
  • Maintain current versions of approved HR forms, templates, notices, and resources.
  • Support the distribution and tracking of required employee notices.
Benefits & Employee Support
  • Route plan interpretation and eligibility questions to the HR Generalist or appropriate team member.
  • Support annual Open Enrollment communications, scheduling, and administrative preparation.
  • Assist with routine employee reminders and documentation follow-up.
  • Maintain confidentiality of medical and benefits information.
  • Support benefits and leave audits as requested.
HR Operations & Administrative Support
  • Provide general administrative support for the HR team, including scheduling meetings, tracking training completion, and preparing reports.
  • Assist with HR initiatives such as employee engagement events, training programs, and performance review cycles.
  • Maintain organized HR documentation and assist with reporting needs as requested by leadership.
Success Measures
  • Accurate and timely recruitment coordination and onboarding completion.
  • Compliance with California labor laws and HR documentation standards.
  • High responsiveness and professionalism in employee communication.
  • Well-maintained, audit-ready personnel records.
  • Efficient support of HR initiatives and department operations.
Skills That Set You ApartRequired Qualifications
  • High school diploma or equivalent required.
  • One year of administrative, customer service, office, recruiting, payroll, healthcare, or Human Resources support experience preferred.
  • An associate degree, bachelor’s degree, Human Resources coursework, internship, or relevant professional training may substitute for some experience.
  • Entry-level candidates with strong administrative and customer-service capabilities are encouraged to apply.
  • High level of professionalism, discretion, and ability to handle confidential information.
  • Proficiency in Google Workspace (Docs, Sheets, Drive, Slides).
  • Ability to work independently while collaborating effectively within a remote team.
