Role Mission

As Implementation Manager for Providers at Hippocratic AI, you will own the end-to-end deployment of our voice AI platform for health system and digital health customers—translating signed contracts into go-live programs that improve patient outcomes at scale. You'll sit at the intersection of project management, technical configuration, and health system operations, ensuring each program launches correctly configured and on schedule. This role exists because health systems are ready to deploy breakthrough AI, and they need an expert who understands their clinical workflows, patient data flows, and operational complexity—someone who can make deployments to diverse provider environments repeatable and scalable.

What You Will Accomplish

Own your first major outcome: By day 90, you will have successfully deployed your first health system use case from contract to go-live—properly configured, on schedule, and with complete documentation handed off to Customer Success. You'll have established strong relationships with your customer's clinical and operational stakeholder teams and validated the core processes that define provider implementation success.

Drive lasting impact: At 12 months, you will have deployed multiple use cases across different health systems (post-discharge, disease management, care gaps, and beyond), built reusable playbooks and templates that make each successive deployment faster and more scalable, established HAI's standard platform onboarding process for providers, and become the trusted expert that internal teams and customers turn to for implementation guidance—directly proving out our ability to execute with health systems at scale.

The Team

You'll work alongside Customer Success, Clinical, Product, and Engineering teams—all focused on ensuring health system deployments succeed. You'll partner closely with health system clinical teams, operational leadership, technical staff, and EHR/IT departments. This is a role that requires both deep execution and strategic thinking about how to scale provider implementations across diverse healthcare organizations.

What You'll Do
  • Own use case deployments end-to-end from contract signature to go-live, serving as the primary project lead for provider implementation engagements and driving accountability to timeline and quality

  • Build and maintain Implementation Charters for each deployment—documenting timeline, configuration decisions, data requirements, go-live checklists, and sign-off criteria that ensure consistency and quality across diverse provider environments

  • Configure use cases for deployment including dialer setup, agent configuration, population filters, exclusion rules, call cadence, routing logic, and workflow integration—working directly from use case requirements and translating them into platform configuration

  • Coordinate with health system data and IT teams to define, validate, and onboard patient data files and EHR integrations—managing data requirements, compliance, and technical connectivity to ensure data quality and seamless integration

  • Project-manage across health system stakeholder teams including clinical operations, patient care management, IT, EHR administration, and departmental leadership—driving accountability and alignment to go-live timeline

  • Design agents that fit into clinical workflows and drive measurable outcomes across diverse health system use cases (post-discharge follow-up, disease management, care gap identification, preventive care, and beyond)

  • Define and refine HAI's standard platform onboarding process for providers—architecting the initial integration, base data pipeline, patient data schema, and EHR system connections that make each additional use case an activation rather than a new integration project

  • Build and maintain the HAI implementation playbook—documenting what works across different provider types and EHR systems, creating reusable templates and checklists, establishing best practices that make every future deployment faster and more reliable than the last

  • Hand off to Customer Success at go-live with complete deployment documentation, clinical workflow diagrams, and configuration details, ensuring the CS team can own the customer relationship from day one with full clarity on capabilities and commitments

Location Requirement

We have positions that are onsite at client locations 5x a work to roles that are primarily remote with significant field presence. For those in remote roles you must be willing to travel 25–40% of the time to client sites for deployments, stakeholder meetings, clinical workflow mapping, and go-live support. Periodic travel to our Menlo Park headquarters is expected for team alignment, playbook refinement, and strategic planning. Required Qualifications
  • Minimum 5 years of implementation, onboarding, or professional services experience working specifically with health systems, health networks, digital health providers, or provider-focused healthcare organizations

  • Deep fluency in health system and provider operations and workflows—a baseline understanding of how patients and clinical data move through health systems, EHR workflows, and care delivery processes, with ability to get up to speed quickly in detailed operational areas

  • Proven track record managing complex, multi-stakeholder enterprise deployments with 60–120 day timelines and proven ability to drive cross-functional teams (clinical, operational, technical) to go-live

  • Hands-on experience with provider IT environments and vendor onboarding processes including security questionnaires, BAA requirements, EHR integrations, and care management platform connections

  • Strong project management and process documentation skills with ability to create and maintain playbooks, checklists, clinical workflow diagrams, and reusable templates across different provider types

Preferred Qualifications
  • Background at healthcare SaaS companies serving providers or healthcare IT consulting experience with provider clients (Accenture, Deloitte, Guidehouse, Milliman, or similar firms)

  • Deep familiarity with EHR systems (Epic, Cerner, Athena) and health system IT architecture

  • Experience with voice AI, outbound patient engagement platforms, dialers, or telephony configuration

  • Knowledge of healthcare compliance and regulatory frameworks relevant to providers (HIPAA, CMS, state regulations, quality reporting)

  • Track record of scaling implementation processes across multiple health systems or provider networks

  • Understanding of clinical workflows and ability to translate clinical requirements into technical use case design
