General Description:

We are seeking an IP Patent and Trademark Docketing Specialist to join our team. The IP Patent and Trademark Docketing Specialist will be responsible for supporting attorneys and clients with patent and trademark prosecution activities, accurately reviewing correspondence, and entering case details and due dates into the firm’s docketing database. This role partners with the IP Docketing Manager to manage and docket a large patent and trademark portfolio utilizing internal and external resources. This position offers a hybrid schedule, providing flexibility to work both from home and in the office. In this hybrid position, you will have the opportunity to collaborate with colleagues both in person and virtually. The IP Patent and Trademark Docketing Specialist can be based within a reasonable commuting distance of any of our U.S. offices.

Key Responsibilities and Essential Job Functions:

  • Follow firm procedures and risk management guidelines to perform a variety of complex duties.
  • Analyze, review, and process all patent and trademark correspondence, both domestic and foreign, including PAIR, PCT, WIPO Mail, and all USPTO communications.
  • Docket PAIR, PCT, WIPO, USPTO, and foreign patent and trademark mail in the docketing system.
  • Modify, add, and maintain docket records.
  • De-docket pertinent deadlines.
  • Open new matters.
  • Create, modify, and generate docket and status reports.
  • Process incoming file transfers.
  • Generate and monitor daily docket of deadlines to ensure compliance.
  • Respond to various requests from Legal staff and other departments.
  • Ensure accurate entry and date calculation of case information.
  • Ensure completion and verification of daily USPTO, WIPO, and PCT submissions.
  • Communicate with attorneys and staff regarding pending action items as needed, including the appropriate follow-up.
  • Special projects and duties as assigned.

Required Skills:

  • Working knowledge of patent and trademark docketing procedures, including USPTO, WIPO, PCT, PAIR Mail and foreign patent and trademark practices.
  • Advanced knowledge of patent and trademark docketing processes acquired through training, education, and several years of work experience in the IP field.
  • Ability to change and adapt to current and future responsibilities and circumstances.
  • Ability to work well in a collaborative environment.
  • Professional conduct, service-oriented attitude, and acute attention to detail.
  • Strong oral and written communication skills.

Required Qualifications & Education:

  • 3-6 years of patent and trademark docketing experience, preferably with CPI.
  • Bachelor’s degree.

Preferred Qualifications & Education:

  • Paralegal Certificate preferred.

Physical Requirements:

  • Ability to sit or stand for extended periods of time.
  • Moderate or advanced keyboard usage.

This position may be filled in Washington, Illinois, District of Columbia , New York, Colorado or California. The base salary ranges for this position are listed below. These ranges may not be applicable to other locations.  An individual's actual compensation will depend on the individual's qualifications and experience. In addition to the base compensation, Holland & Knight provides bonus opportunities and an exceptional benefits package.

  • Washington – $43.10 – $64.70/hr
  • Illinois – $43.10 – $64.70/hr
  • District of Columbia – $47.00 – $70.60/hr
  • New York City – $47.00 – $70.60/hr
  • New York State – $47.00 –$70.60/hr
  • Colorado – $39.20 – $58.80/hr
  • California – $47.00 – $70.60/hr
