JOB SUMMARY

The Manager, Talent Acquisition Operations will drive operational excellence, use of recruiting systems infrastructure, and actionable analytics to support Apptronik's rapid growth. Operating as a hands-on builder and leader, this role owns our day-to-day recruiting systems cadence, scheduling logistics at scale, Greenhouse ATS architecture, Service Level Agreements (SLAs), and data integrity standards. You will keep our recruiting engine running seamlessly, elevate candidate and hiring manager experiences, and lead and develop a high-performing talent coordination team.

ESSENTIAL DUTIES AND RESPONSIBILITIES or KEY ACCOUNTABILITIES

Operations

  • Lead the day-to-day coordination operating cadence, scaling scheduling logistics workflows and enforcing SLA compliance across the recruiting function to ensure high-speed execution and seamless candidate and hiring manager experiences.
  • Establish, document, and maintain Standard Operating Procedures (SOPs), SLAs, and team workflows in our internal knowledge base to scale interview capacity effectively during periods of rapid growth.
  • Provide direct leadership, coaching, and professional development to the talent coordination team, driving operational excellence across ATS workflows and candidate logistics.
  • Establish performance standards, manage team capacity, and cultivate a collaborative, highly organized team culture.

Programs

  • Design, launch, and manage recruiting programs and events (University, hiring events, employer-branding initiatives, and similar TA-led programs) from concept through execution.
  • Develop, roll out, and manage candidate and hiring manager feedback surveys and Net Promoter Score (NPS) mechanisms to continuously measure and elevate the hiring experience.
  • Build and scale recruitment training for hiring managers, interviewers, and interview panels — including onboarding new interviewers, structured interview training, and ongoing enablement materials.
  • Own the centralized repository of enablement and training content, ensuring it stays current as processes and tools evolve.

Reporting

  • Architect, build, and maintain TA metrics reporting and dashboards — covering time-to-hire, pipeline health, sourcing channel efficiency, candidate and hiring manager NPS, SLA adherence, and executive-level KPIs.
  • Manage and optimize our recruiting technology stack, serving as primary administrator for Greenhouse ATS structure, system integrations, and operational workflows.
  • Establish rigorous data governance and data integrity standards across all systems to ensure accurate, trustworthy recruiting insights and compliance.

SKILLS AND REQUIREMENTS

  • Proven track record in talent acquisition operations management, with deep expertise scaling scheduling logistics, SLA compliance, and coordination workflows.
  • Hands-on builder mentality, comfortable establishing processes, reporting structures, and system configurations from scratch in high-growth environments.
  • Proven experience building and running recruiting programs or events (University, hiring events, employer branding, or similar).
  • Demonstrated experience designing and implementing candidate and hiring manager experience surveys, tracking Net Promoter Score (NPS), and leveraging feedback to improve recruiting processes.
  • Expertise in Greenhouse ATS system administration, data structure management, data governance, and third-party recruiting tool integrations.
  • Proven experience with centralized internal knowledge bases, intranets, or wikis (e.g., Confluence, shared drives).
  • Strong project management skills with a track record of successfully implementing scalable operational processes across a talent function.
  • Strong analytical capabilities and communication skills, with demonstrated success translating complex talent analytics and SLA performance into clear narratives for leadership.
  • Dedicated people leader with a strong passion for mentoring, developing, and managing talent coordinators to deliver world-class candidate and manager experiences.

EDUCATION and/or EXPERIENCE

  • Bachelor's degree (or equivalent) in Human Resources, Business Administration, or a related field.
  • At least 6 years of experience in talent acquisition with a dedicated focus on TA operations, recruiting system administration, data integrity, and analytics.
  • At least 2 years of experience directly managing people, preferably within a recruiting or talent operations environment.
  • Proven track record of implementing and integrating new programs, processes, or tools within a recruiting function while managing continuous change in a high-growth environment.

PHYSICAL REQUIREMENTS

  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift 15 pounds at times
  • Vision to read printed materials and a computer screen
  • Hearing and speech to communicate
