About the role

The Manager, Total Rewards is a key operational leader within the People Operations function, responsible for executing and optimizing compensation, benefits, payroll, and HR systems processes. Reporting to the Director, Total Rewards & Systems, this role serves as the operational engine of the Total Rewards function — ensuring excellence in day-to-day delivery. This role provides hands-on leadership across Benefits & Compensation, Payroll, and HRIS & Compliance, with deep ownership of 401(k) plan administration and regulatory oversight.

Essential Functions

Operational Leadership & Team Oversight

  • Oversee daily operations across Benefits, Compensation, Payroll, and HRIS to ensure accuracy, timeliness, and compliance.
  • Manage workflow prioritization and provide direction to Total Rewards specialists.
  • Serve as escalation point for operational issues and troubleshoot complex employee or system concerns.
  • Ensure seamless coverage during peak cycles (annual compensation planning, open enrollment, audits, year-end payroll, etc.).
  • Act as a cross-functional resource capable of stepping into specialist-level work when necessary.

 

401(k) & Retirement Plan Administration

  • Assume full operational ownership of the 401(k) plan, including governance support.
  • Manage annual audits, Form 5500 preparation, compliance testing (ADP/ACP), and vendor coordination.
  • Partner with recordkeepers, advisors, and the Director to ensure plan integrity.
  • Develop and deliver employee education and communication strategies to drive engagement and financial wellness.
  • Ensure ongoing compliance with ERISA, IRS, and Department of Labor requirements.

 

Compensation & Benefits Execution

  • Support administration of base pay, bonus, and equity programs in partnership with the Director.
  • Execute annual merit and bonus cycles, including data validation, modeling support, and system configuration.
  • Serve as backup to the Benefits and Compensation Specialist for administering health, wellness, retirement, and ancillary benefit programs, with a focus on employee experience and cost efficiency.
  • Conduct market pricing analysis and maintain compensation benchmarking data as needed.
  • Support pay equity analyses and documentation.

 

Payroll & HR Systems Support

  • Provide operational oversight of payroll processing to ensure compliance with federal, state, and local regulations.
  • Partner with HRIS and IT teams to maintain data integrity and optimize system workflows.
  • Support HRIS enhancements, reporting capabilities, and automation initiatives.
  • Ensure data accuracy across compensation, benefits, and payroll systems.
  • Assist with system implementations, testing, and upgrades as needed.

 

Governance, Compliance & Risk Mitigation

  • Maintain documentation and internal controls across Total Rewards processes.
  • Support regulatory filings and audit processes.
  • Ensure compliance with ERISA, ACA, FLSA, IRS, SOX, and other applicable regulations.
  • Monitor legislative changes and recommend operational adjustments as needed.

 

Strategic Partnership

  • Serve as thought partner to the Director in identifying process improvements and scalability opportunities.
  • Provide data-driven insights and operational metrics to inform decision-making.
  • Contribute to the development of long-term Total Rewards infrastructure and talent pipeline planning.

Knowledge, Skills, and Abilities

  • Deep operational expertise with broad cross-functional knowledge across Total Rewards.
  • Strong analytical skills with the ability to interpret compensation and benefits data.
  • High attention to detail and commitment to accuracy and compliance.
  • Leadership maturity with the ability to both manage and execute.
  • Strong project management and organizational skills.
  • Excellent communication and stakeholder management abilities.
  • Ability to balance tactical execution with a continuous improvement mindset.

Education and Experience 

  • Bachelor's degree in HR, Business, Finance, or a related field required; CCP, CEBS, or retirement plan certifications strongly preferred.
  • 7+ years of progressive experience in Total Rewards, Benefits, Compensation, Payroll, or HR Operations.
  • Demonstrated expertise in 401(k) administration and retirement plan compliance.
  • Experience overseeing payroll operations and HRIS systems.
  • Experience supporting audits and regulatory filings.
