Schoox is seeking a highly organized and versatile Marketing & Events Coordinator to serve as an operational backbone for our marketing team. This role blends hands-on project coordination with event execution — keeping marketing initiatives on track, tracking budgets, and ensuring that marketing programs and events Schoox attends or hosts run smoothly and deliver measurable results.

This is an execution role. You will be the person who makes things happen - managing timelines, coordinating across internal teams and external vendors, tracking spending against budget, and keeping marketing program and event logistics running from planning through results. You will also support broader marketing operations including material management, campaign coordination, and vendor management.

This position reports directly to the Head of Demand Generation and works cross-functionally within marketing to ensure programs as executing as planned.

How You Will Impact Schoox

Marketing Operations & Project Management

  • Serve as the marketing team's project coordinator — maintaining operational schedules, tracking deliverables, and keeping campaigns and initiatives on deadline.
  • Maintain a master marketing calendar covering events, campaigns, content launches, and key internal milestones.
  • Manage and maintain an inventory of marketing materials; coordinate creation of new materials with internal stakeholders and external vendors.
  • Coordinate tasks outsourced to external vendors — including print production, promotional items, and creative execution — managing timelines, quality, and invoicing.
  • Support the marketing team in day-to-day execution: communicating deliverable requirements, tracking progress, and flagging risks to leadership.
  • Review campaign and event metrics with the support of marketing operations; support marketing leadership with performance reporting.

Budget Administration

  • Own marketing budget tracking — maintaining an up-to-date view of spend vs. plan across all programs, events, and vendor commitments.
  • Process invoices, match receipts and ensure accurate budget coding for finance.
  • Flag budget variances proactively and support marketing leadership in reforecasting as needed.
  • Manage vendor relationships and negotiate pricing to maximize budget efficiency.

Event Logistics & Execution

  • Own end-to-end logistics for Schoox's event participation — including third-party industry conferences, regional roadshows, customer roundtables, and executive experiences.
  • Manage all operational details: booth shipping and setup, vendor contracts, attendee registration, hotel room blocks, and on-site logistics.
  • Support logistics and planning for the annual Sales Kick-off — managing programming schedules, venue logistics, and budget adherence.
  • Provide logistics and communications support for Board of Directors meetings.
  • Coordinate Schoox's presence at third-party events: manage booth assets, sponsor deliverables, speaking submissions, and lead capture.
  • Manage corporate gifting, event swag, and new hire gifting programs in coordination with HR.
  • Ensure event execution is consistent with Schoox brand standards and aligned with GTM objectives.

Cross-Functional Collaboration

  • Partner with Marketing, Sales and BDR teams to ensure execution of pre- and post-event follow-up, ensuring leads are captured and handed off effectively.
  • Collaborate with Product Marketing on asset and collateral needs for events and campaigns.

Requirements
  • Bachelor's degree in Marketing, Business Administration, Communications, or a related field.
  • 3-5 years of experience in a marketing operations, events coordination, or marketing coordinator role — preferably in a SaaS or B2B technology environment.
  • Demonstrated project management skills: able to run multiple workstreams simultaneously, build workback schedules, and hold timelines.
  • Hands-on budget management experience: comfortable tracking spend, processing invoices, and maintaining accurate budget records.
  • Strong attention to detail — you catch errors before they become problems.
  • Excellent communication and interpersonal skills; able to work across functions and manage external vendors effectively.
  • Proficiency in Microsoft Office Suite; familiarity with project management tools (e.g., Asana, Monday.com), CRM systems, and email marketing platforms.
  • Adaptability and willingness to travel and work flexible hours around event schedules when needed.
  • A proactive, get-it-done attitude — you take ownership, anticipate needs, and follow through without being closely managed.

The salary range for this position is $70,000–$90,000 annually. The compensation offered will depend on qualifications, experience, and work location. The offered compensation may also include restricted stock options. A description of our employee benefits may be found HERE
