Job Description

Project & Administrative Support

  • Provide day-to-day administrative support for projects and business operations.
  • Maintain project documentation, filing, and data accuracy across systems.
  • Support the preparation and maintenance of consultant, client, and vendor contact lists.
  • Assist in preparing presentation materials, meeting notes, team updates, and internal reports.
  • Coordinate team meetings, including agenda preparation, minute-taking, and follow-up actions.

Commercial & Invoicing Support

  • Support the invoicing process, including tracking submissions, organizing supporting documents, and liaising with Finance and Business Operations teams.
  • Assist in drafting fee letters, bid submissions, and supporting documents for proposals.

Data Analytics & Reporting

  • Assist in collecting, validating, and maintaining data for reporting and business analysis purposes.
  • Support data extraction, compilation, and analysis to inform project and business decisions.
  • Maintain trackers, reporting tools, and dashboards for team review and performance monitoring.

Business Operations & Team Coordination

  • Work closely with Business Operations teams to support office facilities, procurement requests, and employee engagement initiatives.
  • Support compliance and administrative processes related to project milestones and business requirements.
  • Coordinate with consultants, clients, vendors, and internal stakeholders on administrative matters.

Continuous Improvement & Adaptability

  • Proactively identify opportunities to streamline workflows and improve operational efficiency.
  • Develop a strong understanding of business processes and operational requirements.
  • Adapt to evolving business needs and support new initiatives as required.

Qualifications

  • Diploma or Degree in Business Administration or a related field.
  • 1-3 years of experience in administrative, project coordination, or business support roles.
  • Proficient in Microsoft Office applications, particularly Excel, PowerPoint, and Word.
  • Strong organizational skills with excellent attention to detail and accuracy.
  • Good communication and stakeholder management skills.
  • Ability to manage multiple tasks and work effectively in a fast-paced environment.
  • Proactive, adaptable, and able to work independently as well as part of a team.
  • Experience with business systems and reporting tools is an advantage.
  • Exposure to invoicing, procurement, or business operations processes is preferred.
