Position Summary

We design and manufacture products in Carrollton, TX, with sales, engineering, and our main production floor under one roof,  plus a second light manufacturing facility a few minutes away. Customers visit weekly, touring the plant, qualifying parts, and meeting our engineering team, and the person in this role makes sure those visits run smoothly from the lobby to the shop floor.

This hybrid role combines office management for two manufacturing sites with executive logistics support for the CEO and his leadership team. In a typical week, you'll coordinate 1–3 customer visits or plant tours, manage travel and lodging for leadership, partner with sales and engineering on visit logistics, and keep both facilities running smoothly. You'll be the friendly face guests meet on arrival and the steady hand keeping things on track behind the scenes.

This is hands-on coordination work, not strategic chief-of-staff partnership. The right person brings the practicality of a seasoned manufacturing Office Manager and the polish to host customers and support executives.

Who You Are
  • An experienced Office Manager or Administrative Coordinator from a manufacturing, industrial, or production environment

What You'll OwnCustomer Visits & Plant Tours
  • End-to-end coordination of customer visits, plant tours, and supplier days from arrival to departure
  • Visitor sign-in, NDA collection, safety briefings, and PPE distribution for shop floor tours
  • Conference room setup, AV check, catering, signage, and refreshments
  • Partnership with sales, engineering, and the Plant Manager on visit agendas and shop floor walkthroughs
  • Welcoming visitors on arrival and ensuring they have what they need throughout the day
  • Continuous improvement of the visitor experience as visit volume grows
Executive & Leadership Support (Travel, Visits, Lodging)
  • Travel and lodging coordination for the CEO and leadership team — including customer-facing trips, trade shows, and supplier visits
  • Hotel blocks, ground transportation, and dinner reservations for visiting customers
  • Expense report support and follow-up
  • Calendar and meeting coordination for leadership when needed, especially around customer visit weeks and month-end
  • Discreet handling of executive travel details and visitor information
Workplace & Facilities Operations (Two Sites)
  • Daily readiness of office areas, conference rooms, breakrooms, and visitor spaces across both plants
  • Walkthroughs to catch issues early and resolve them proactively
  • Partnership with the Plant Manager and property management on non-production repairs, maintenance, and improvements
  • Non-production supplies, breakroom stocking, mailing, and shipping — including outbound customer samples and small shipments when needed
  • Support for safety and visitor compliance protocols
Vendor & Budget
  • Vendor relationships across catering, cleaning, maintenance, security, and office services
  • Facility billing, invoice reconciliation, and basic budget tracking
Internal Events & Training
  • Coordination of onboarding, training sessions, leadership meetings, and company events
  • Logistics including scheduling, catering, setup, and cleanup
  • Cross-functional partnership with HR, sales, engineering, and plant operations on shared events

What You Bring
  • 3+ years in office management, administrative coordination, or workplace operations in a manufacturing, industrial, or production environment
  • Comfort on a shop floor, around production employees, and with customer plant tours
  • Experience coordinating customer visits, plant tours, or supplier days
  • Experience supporting senior leadership with travel, lodging, and visit logistics
  • Strong vendor management — especially catering and facilities vendors
  • Excellent organization, prioritization, and problem-solving skills
  • Strong written and verbal communication and a professional presence
  • Proficiency in Microsoft Office (Excel required); Google Workspace a plus
  • Familiarity with ERP or manufacturing software (e.g., SAP, NetSuite, Epicor, Plex) a plus
  • Bilingual Spanish a plus

Work Environment & Expectations

  •  Fully on-site in Carrollton, TX, across two nearby plants
  • Active manufacturing workplace with sales, engineering, and production teams co-located
  • Regular customer and visitor activity, including plant tours
  • Comfortable walking the shop floor in PPE during customer visits and daily walkthroughs
  • Occasional availability outside standard business hours to support visits, leadership travel, and operations
