This role sits at the heart of the hiring experience. You won’t just “process onboarding” ~ you’ll shape how every new hire experiences Proven from their offer acceptance to their first day.
You’ll partner closely with Recruiting and HR to create a smooth, organized, and genuinely welcoming experience that reflects who we are as a team. This is also a great opportunity for someone looking to grow into broader HR or Talent Acquisition responsibilities over time.
What You’ll Do- Coordinate onboarding from offer acceptance through start date
- Send and track completion of new hire packets and documentation
- Initiate and monitor background checks and pre-employment requirements
- Communicate clearly and consistently with new hires to guide next steps
- Partner with Talent Acquisition and HR to support hiring workflows
- Track onboarding progress and follow up to ensure timelines are met
- Maintain accurate records in Paycom and Google Workspace
- Support employee referral tracking and related processes
- Ensure compliance with all onboarding requirements and regulations
- Identify opportunities to improve onboarding efficiency and candidate experience
- High School Diploma or equivalent required
- 3+ years of administrative or office experience
- 1+ year of onboarding or recruiting experience
- Strong organization and ability to manage multiple priorities
- Excellent written and verbal communication skills
- High attention to detail and follow-through
- Ability to work independently in a remote environment
- Experience with Google Workspace and ATS systems (Paycom preferred)
