TITLE: Operations Specialist

POSITION SUMMARY:
The Operations Specialist is accountable for ensuring compliant operations while supporting the Fraternal’s mission, vision, and goals, and fostering and promoting a positive work environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
General, Financial, Operational
● Collaborate with office teams and perform daily, compliant operations, including but not limited to accounting/financial processes and procedures
● Develop and maintain internal controls, guidelines, and procedures for activities, including but not limited to budget administration, cash and credit management, and accounting
● Monitor all financial activities and processes to ensure compliance with all regulatory requirements, including but not limited to month-end and year-end close processes, accounts payable/receivable, preparation of tax forms, and financial audits.
● Process mortgage loan payments and communicate with clients regarding payments, taxes, insurance, etc.
● Manage client late payment communications
● Oversee the status of loans and accounts to ensure all payments are current
● Provide administrative coverage for business needs as needed
● Perform special projects and other duties as requested, directed, or assigned.
Business Development, Marketing, and Sales
● Cross-train with the Insurance Services Department to provide backup support as required.
● Interact with members and manage existing policies to generate new leads, tracking the progress of these opportunities.
● Identify, develop, and execute strategies for marketing products, including but not limited to annuity rates and promoting the company's offerings to a broader audience.
● Provide support in the organization and coordination of company events, including conventions.
● Support sales team efforts for sales communications and customer outreach using platforms, including but not limited to Constant Contact.
KNOWLEDGE, SKILLS, AND ABILITIES (KSA):
● Excellent knowledge of operations, financial accounting, and payroll principles, processes, controls, and best practices
● Strong knowledge of accounting/financial software, systems, and tools (ex. Sage, QuickBooks)
● Proficient in the use of Microsoft products, Google Suite, and the ability to learn new systems
● Ability to maintain high professional and ethical standards
● Ability to maintain strict confidentiality
● Excellent communication, interpersonal, organizational, and time management skills
● Excellent critical thinking and analytical skills
● Ability to work independently or as part of a team
EDUCATION, CERTIFICATIONS, AND LICENSES
● Bachelor's degree in business, accounting, marketing, or a related field preferred; or equivalent experience will be considered
EXPERIENCE
● 5 years of experience in an equivalent position
● Experience with nonprofit organizations preferred
ADDITIONAL REQUIREMENTS
● Must be able to pass a background check
● Valid driver’s license and related insurance
