THE OPPORTUNITY
The Order Management & Procurement Specialist is the heartbeat of the order-to-delivery experience. This role ensures customer orders move seamlessly from submission to successful delivery – accurately, efficiently, and on time. Acting as a key liaison between customers, sales, vendors and internal teams, the Order Management & Procurement Specialist owns the end-to-end order lifecycle, proactively managing timelines, resolving issues, and keeping stakeholders informed every step of the way. With a sharp eye for detail and a strong sense of urgency, this role ensures all orders meet customer defined SLA’s, driving trust, reliability, and an exceptional customer experience.
HOW YOU’LL MAKE AN IMPACT
- Purchasing: Place and manage purchase orders, ensuring all information is accurate and submitted on time.
- Supplier Relationships: Work and build strong relationships with suppliers to communicate pricing, product availability and delivery schedules that assist in meeting customer expectations. Resolve all defective or unacceptable shipments with vendors to completion with the customer and Iron Bow in mind.
- Strategic Sourcing: Partner with Strategic Alliance, research and review supplier product offering and line cards to help identify the best sources.
- Coordination and Communication: Proactively manage customer orders from receipt through final delivery, ensuring all timelines align and customer defined SLA’s are met or exceeded. Communicate order status, changes, and escalations clearly and professionally, ensuring alignment across all parties.
- Track and Monitor: Manage each order daily, identifying potential delays and/or risks and taking swift action to prevent customer impact. Anticipate and escalate potential issues to Manager for direction if unsure of course of action.
- Exceptional Follow Up: Provide ongoing communication to customers and internal stakeholders throughout the order life cycle.
- Manage Backlog: Prepare, review and maintain daily backlog reports, driving resolution through coordination with suppliers, sales, and operations teams. Comments will be clear, concise and timely for management review.
- Organization: Demonstrate strong planning, organization and time management skills to effectively manage multiple orders and competing priorities.
- Customer Satisfaction: Consistently deliver high level of customer satisfaction through accuracy, responsiveness, proactiveness and attention to detail. Identify, track and drive RMA situations to closure with Customers and Vendors with minimal expense and exposure of carrying cost, restock fees and freight charges to Iron Bow.
- Optimize: Look for opportunities to improve processes, while always keeping our customers in mind. Partner cross-functionally with other internal departments to resolve issues and ensure seamless order execution.
- The Daily: You will be right in the middle of the action, keeping product moving, suppliers aligned, and internal teams informed. Your day will revolve around managing a busy order backlog, making sure orders are placed accurately, received on time, and followed through from start to finish.

COMPENSATION AND BENEFIT INFORMATION
The salary range for this position is $55,000-65,000/yr. This range reflects the anticipated base pay for the position and is not a guarantee of final compensation. Actual compensation will be determined based on factors including experience, skills, education, location, contract requirements, and business needs.
Iron Bow Technologies reserves the right to fill this role at a different level, depending on qualifications and organizational priorities. This range represents only one component of Iron Bow’s total compensation package. An overview of our benefits is available on our careers page.
