The Personal Assistant supports a principal by managing complex travel logistics, daily requests, and maintaining communication while adapting to a fast-paced, dynamic environment.
Our client is seeking an experienced, resourceful, and highly adaptable Personal Assistant to join a growing PA team supporting a fast-paced global lifestyle. This role is ideal for someone who thrives in dynamic environments, enjoys extensive international travel, and can anticipate needs before they arise.
The principal maintains a demanding and constantly moving schedule with no fixed home base, requiring a candidate who is exceptionally organized, proactive, and able to operate calmly under pressure. The ideal candidate has a resourceful mentality, is comfortable with direct communication styles, and can seamlessly manage logistics, travel, and day-to-day support at the highest level.
Responsibilities
- Provide high-level personal and administrative support to the principal daily
- Coordinate complex domestic and international travel arrangements, including private aviation, hotels, ground transportation, visas, and itineraries
- Ensure seamless travel experiences by proactively managing check-ins, accommodations, reservations, and schedule changes
- Handle day-to-day requests including dining, shopping, appointments, and lifestyle coordination
- Anticipate the principal’s needs and resolve issues quickly and discreetly while traveling
- Maintain constant communication and availability while on rotation
- Coordinate with security, management, vendors, hospitality teams, and external partners as needed
- Manage calendars, schedules, and last-minute logistical changes efficiently
- Assist in creating structure and continuity within the growing PA team
- Support operations in fast-moving and unpredictable environments with professionalism and composure
Qualifications
- Prior experience as a Personal Assistant, Executive Assistant, Traveling Assistant, or similar high-level support role
- Strong experience coordinating complex international travel and luxury logistics
- Ability to thrive in a constantly changing, travel-heavy environment without a fixed base location
- Exceptionally organized, proactive, and solutions-oriented
- Calm under pressure with excellent problem-solving abilities
- Comfortable working flexible hours across multiple time zones
