We specialize in commercial build-outs, infrastructure coordination, and vendor contract execution—all driven by lean, agile operations and client-first delivery. As we scale, we’re seeking a highly organized, trustworthy, and proactive Personal Assistant to support executive leadership remotely, ensuring seamless day-to-day workflow, calendar management, and client communication.
Role & Responsibilities
- Manage and prioritize executive calendars across time zones, scheduling meetings, travel, and internal/external commitments with precision.
- Act as a gatekeeper—screen calls, filter emails, and prepare briefing notes for key stakeholders and high-priority clients.
- Coordinate travel logistics, expense reporting, and documentation for multi-state project sites and offsite meetings.
- Track project deadlines, follow-up on vendor deliveries, and maintain master task lists for senior leadership.
- Prepare presentations, draft professional correspondence, and format client-facing documents with brand consistency.
- Support ad hoc administrative tasks including contract tracking, file organization, and CRM data entry for client relations.
