Summary:  The Communications PMO Intern supports the National Employee Communications Project Management Office (PMO). This role focuses on project coordination, intake management, workflow tracking, and capacity visibility to help ensure communications projects are planned, prioritized, and delivered efficiently.

Alongside core PMO responsibilities, this role contributes to the Wise & Well digital experience by using Foleon-the content management system for Digital Benefit Guides (DBGs). The intern will support the production of monthly Wise & Well newsletters and the ongoing maintenance and enhancement of Wise & Well modules within the platform.

The intern will work closely with PMO leadership and Communications team members to support project tracking, documentation, and process improvement initiatives.

Accountable for These Key Areas:

  • Support PMO operations and project coordination activities
  • Assist with project intake, tracking, and prioritization
  • Update and maintain accurate project data across Planner and SharePoint Lists
  • Support capacity planning, reporting, and process documentation
  • Contribute to continuous improvement of PMO workflows and tools

Responsibilities:

  • Project Intake, Tracking & Coordination
    • Support the review of incoming project requests to ensure completeness, alignment to scope, and readiness for routing
    • Proactively escalate unclear or incomplete requests, provide timely updates to the PMO team, and monitor and follow up on items requiring additional information to ensure they progress through the workflow.
    • Update and maintain project tasks in Microsoft Planner Premium (PMO project management software), including due dates, assignments, checklists, and links
    • Help maintain clear and consistent project entries in Planner and other tracking documents to support queue management.
  • Wise & Well & Foleon Support
      • Prepare and publish monthly Wise & Well digital newsletters using the Foleon platform
      • Maintain, update, and support improvements to Wise & Well Foleon modules
      • Apply Foleon layout and formatting best practices used across Communications for DBGs
      • Support content organization, visual layout, editing, and quality control
      • Identify opportunities to improve workflow efficiency, usability, or content experience
    • Capacity & Workflow Support
      • Help track team capacity and workload across active projects
      • Assist with identifying bottlenecks, overdue tasks, or incomplete project information
      • Support PMO efforts to balance work based on priority, renewal dates, and team capacit
    • Communication & Collaboration
      • Communicate with PMO team members regarding missing information or project updates
      • Escalate unclear or incomplete requests to PMO leadership
      • Participate in PMO check-ins‑ and planning discussions

    • Accurate and timely entry of projects into Planner and SharePoint Lists
    • Improved visibility into project status and team workload

    • Reliable support of PMO operations during peak project periods
    • Commitment to up to 40 hours per week during the internship

    Qualifications:

    • Working toward a bachelor’s degree in business, operations, communications, marketing, or a related field (rising seniors preferred)
    • Strong interest in project management, operations, or process improvement
    • Proficiency with Microsoft Office programs (required)
    • Familiarity with Microsoft Planner, SharePoint, or similar project management tools (preferred; training provided)
    • Proficient in at least one email service provider (required)
    • Graphic design and web development experience (required)
    • Strong organizational and analytical skills

The base salary range for this position is $18 to $24 per hour.   The base salary offered will be determined by factors including, but not limited to, experience, credentials, education, certifications, skill level required for the position, the scope of the position, and geographic location. Actual base salary offered will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
