Summary/Objective


The Project Manager Assistant position is responsible for performing administrative duties as necessary in support of the Project Department’s operations.


Essential Functions


  • Enter data on Excel spreadsheets
  • Electronically log and track incoming requests for quotes with Access spreadsheet
  • Type delivery tickets and purchase orders, when needed
  • Prepare miscellaneous office memos
  • General office duties

Competencies


  • Assist Project Managers with coordinating and executing customer projects from order entry through completion.
  • Respond to customer inquiries regarding product availability, pricing, and order status.
  • Assist with order entry, purchase orders, and project-related transactions.
  • Coordinate with vendors to confirm product availability and lead times.
  • Track project timelines and assist Project Managers in meeting project deadlines.
  • Maintain accurate project documentation including quotes, submittals, purchase orders, and correspondence.
  • Organize and maintain project files and records.
  • Perform administrative and operational tasks to support the project management team.
  • Perform additional assignments as directed by management.

 

Supervisory Responsibility


The Project Manager Assistant position has no direct supervisory responsibilities.

Work Environment

 

General Office – Work is generally performed within an office environment, with standard office equipment. Lighting and temperature are adequate and there are no hazardous or unpleasant conditions caused by noise, dust, etc..

 

Physical Demands


The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.


Work is generally sedentary in nature, but may require standing and walking for up to 10% of the time.

 

Position Type and Expected Hours of Work


This is a full time position. Days and hours of work are Monday through Friday, 8:00 a.m. - 5:00 p.m. The employee must work 40 hours each week to maintain full-time status.

Qualifications

Education and Experience


  • One or more years in electrical distribution field preferred
  • Proficient in Microsoft Office
  • High School Diploma required
