Mission:

The project manager will report to the Senior Director of Consulting, and play a vital role in the Consulting department – driving excellence in client delivery while spearheading important touchpoints with clients to deliver on Mole Street’s solutions and technologies. Your mission is to build a project management function, standardizing and increasing the quality of delivery.

This role requires daily management – primarily in our Professional Services Automation tool Kantata – to oversee effective delivery on time, budget, resource planning, and excellence in reporting so the executive team can increasingly make forward looking decisions. You will collaborate closely with our delivery team – Consultants, implementation specialists, designers, and developers – to ensure clarity on project requirements, outcomes, and plans to drive success for our clients. You will bill a portion of your time to client work.

In a new business capacity, you will assist the executive team and others with providing guidance on estimation, scoping, and resource allocation. Your main role is to ensure accuracy in project management timeline, facilitating the ability for Consultants to ship our services and align internally so the sales to delivery handoff is seamless and best in class. 

Success for this position is based on the highly detailed project management of deliverables and communication. This will allow for our teams to focus on their areas of expertise. Additionally, it will ensure all team members have clean data to facilitate decentralized decision making - including our CRM. Your work should build confidence with our clients and our team in our technical capabilities and approach to solving their problems. The project management function should be a “secret sauce” in delivering at the highest level and make our work seem effortless to outside viewers. 

Day-to-Day Responsibilities:

Three main disciplines are critical to success. The ability to:

  • Project Management: Build and deploy excellent project management processes that delight clients and the team alike in the results that are gleaned.
  • Scoping and Estimation: Ensure the sales team has accurate estimates that translate to contracts and that the handoff from sales to delivery is fluid and clear.
  • Operations: Act as an internal source of knowledge to help scale operations within Mole Street, design systems to expedite project delivery for client satisfaction, and ensure clean data gets into the right hands at the right times for decision making by the consulting team

Below are examples of day-to-day activities that are not exhaustive:

Project Management:

  • Ensure all projects are updated daily and weekly in project management tool for accurate on time and on budget delivery
  • Maintain a standard of excellence in task management – ensuring task dates, quality information in task and naming conventions, and individuals required to do the task are inputted in Kantata. 
  • Manage and ensure resource planning precision – attending and following through on weekly meetings with the Executive team, Consulting team, and others tasked with project delivery on capacity planning and receiving net new clients. 
  • Define and refine our Project Management standards – codifying and amending existing templates within Kantata for Mole Street services, and standardizing our delivery based on the five core stages of Project Management – Initiation, Planning, Execution, Monitoring and Reporting, and Closure. 
  • Employ scope management within client engagements – reviewing data in Kantata
  • Ensure data cleanliness within our PSA software (Kantata) and HubSpot, troubleshooting reporting issues, delivering insights to the Executive team
  • Ensure alignment across teammates and initiatives, coaching and mentoring as necessary to empower your team toward professional growth and achieve excellence in delivery
  • Schedule and attend kickoff calls with the consulting practice leader and delivery contacts (i.e. lead consultant, implementation, client experience), while following up to schedule weekly client meetings and internal syncs for the delivery team.

Scoping and Estimation: 

  • Build estimates in Kantata as sales – net new and existing client expansions – progress that can be quickly turned into detailed project plans
  • Ensure estimates turn into detailed scopes of work in contracts that govern client projects after closing
  • Manage the sales to delivery handoff from a project planning perspective as it relates to delivery teams, tasks, work streams, and next steps
  • Play a pivotal role in pre-sales alignment calls and client kickoffs – curating materials, disseminating scope of work internally, reiterating timeline, and emphasizing budget with delivery teams

Operations:

  • Arm the Consulting department and cross functional teams with data (from Kantata, HubSpot, and other systems in Mole Street’s tech stack) about project delivery, timelines, and budget to drive action and next steps.
  • Ensure data hygiene at all times in regards to information in Kantata for tasking, resource planning and time tracking. 
  • Support data strategy within Mole Street’s HubSpot CRM to ensure a clear handoff from sales to delivery.
  • Automate and integrate data across technologies to constantly increase business intelligence and cohesion.
  • Contribute to internal change management initiatives and promote organizational maturity and scalability
  • Develop internal content and assets to reflect standardized processes, guidelines, and policies
  • Organize a repository of internal training materials, templates, client-facing assets, and other documentation as appropriate

Admin

  • Weekly account meeting attendance - 10:30am-11:00am Mondays
  • Weekly Consulting Department meeting attendance
  • Track and bill your time in Kantata
  • Availability on email, Slack, Zoom, and phone during working hours for connects with team and client as needed
  • Work on special projects as assigned

Preferred attributes:

  • Certification by the Project Management Institute as a CAPM or PMP.
  • Experience in Kantanta by Mavenlink
  • Experience working with Mole Street’s other technology partners (i.e. Aircall, Snowflake).
Required Skills and Experience:
  • 2-5+ years of project management, consulting, technology implementations, and/or solution delivery. 
  • Strong communication skills required – inclusive of stakeholder management, project management, collaboration, and relationship management. 
  • Strong objection handling and scope management – translating evolving needs from clients to categorize in-scope or out of scope. 
  • Excellent abilities in problem solving, critical thinking, and managing multiple projects simultaneously. 
  • Proficiency in HubSpot CRM, Google Suite, and Professional Services Automation (PSA) software is required.
