Rad Science, a part of Real Chemistry, is an agency that produces unique and engaging scientific narratives, imagery, and educational experiences that support and enhance our client’s business objectives. We are seeking Project Managers to join our growing team. Project Management roles at Rad Science fulfill our most critical internal-facing responsibilities; they work in close collaboration with our Account Management and Creative Departments to produce standout work for the healthcare industry––overseeing proactive planning, project organization, and timeliness.  

Our Project Managers are mavens in the world of timeline management and efficiency. They own and maintain the timeline and internal project tracker documents (i.e., internal status reports, hot sheets) in parallel with spearheading weekly resource planning meetings with a designated Resource Manager. One of the main charges in their purview is managing the project burn by ensuring that teams are staying within budgets and scoped hours. Working together with Resource Management to plan for time away from the work to decompress, reevaluate, and reset counts too! 

Essential Functions 

I. Project Tracking, Organization & Timelines  

  • Demonstrates comprehensive understanding of internal processes and resources.  

  • Primary responsibilities may include but are not limited to:  

  • Collaborates with the Account Management team and appropriate project leads to optimize scope via Input Meetings, accurate Staffing Grids, and Project Plans  

  • Manages day-to-day workflow for multiple projects with internal teams 

  • Creates, manages, and maintains project timelines using internal tools (i.e. Workfront) 

  • Owns internal communication and questions related to the projects within their assigned account(s) 

  • Recognizes project risks, manages and mediates project issues and can develop solutions 

  • Proactively provides solutions-oriented thinking regarding timeline challenges 

  • Owns external third-party vendor/contractor relationships (i.e., voiceover recording, print production) related to coordination and production of end product. 

II. Financials  

  • Supports Account Management partner to accurately plan annual and quarterly financial forecasts  

  • Examples of efforts may include but are not limited to: 

  • Works in proactive partnership with Account Mngt partner to translate client needs into actionable plans; includes and informs all the appropriate parties  

  • Works in proactive partnership with Account Mngt partner to define the logistics that inform said business planning (i.e.) start dates/end dates, phasing/timing for project life cycle) 

  • Includes block and tackle tactics as needed 

  • May leverage historical knowledge, client system(s) insights, and/or knowledge of vendor partners to support/inform plans 

  • Approves project timesheets and alerts Account Mngt Team of notable changes 

III. Quality Control Review  

  • Manages routing of assets for review and ensures project is tracking according to the Project Plan 

  • Examples of efforts may include but are not limited to: 

  • Accurately compiles submission documents and is the expert on the client submission platforms, processes, and guidelines 

  • Formally submits key milestone deliveries for medical/legal/regulatory (MLR) review and/or applicable client review process. 

  • Depending on the background of the Project Manager, they may be responsible for quality control review of key milestone deliveries  

  • Owns internal tasks that come out of MLR reviews: collates client and reviewer feedback and delegates revisions to the Art Director and production team 

IV. Professional development & team mentorship  

  • May mentor and supervise junior staff 

  • May work with Supervisor determine a professional growth plan where a direct report can further develop skillsets, contribute to the organization, and feel professionally satisfied 

V. Collaboration & teamwork  

  • Effectively collaborates with members across the entire team to succeed  

  • Ensures procedures are being followed by team members 

  • Contributes and/or provides feedback to Supervisor, leadership, and fellow team members with a solution-oriented focus

  • Detail-oriented and can effectively multi-task between various ongoing projects 

  • Outstanding organizational skills 

  • Strong work ethic and is eager to learn from experienced, strategically creative account and project management teams

  • Excellent communication skills (written and oral) 

  • Adept interpersonal abilities with aptitude to engage well with teams 

  • Familiarity with animated media/motion graphics, UI design, and experiential technology platforms (i.e., VR/AR/MR, etc.) and their potential technical issues is highly desirable 

  • Proficient in Microsoft Office (Word, Excel, PowerPoint) 

  • Familiarity with Adobe Acrobat and Outlook is highly desirable  

  • Familiarity with project management software such as Workfront is highly desirable 

  • Bachelor of Arts degree in project management, art, computer graphics or related discipline, or equivalent experience
