About the Role

As a Recruiter Coordinator at Solace, you’ll be the linchpin that keeps our high-volume recruiting engine running smoothly. You’ll manage scheduling, candidate communications, and logistics for interviews, ensuring an exceptional experience for candidates and interviewers alike.

You’ll work closely with Talent Acquisition, hiring managers, and cross-functional teams to coordinate complex schedules, manage applicant tracking systems, and streamline workflows. This is an ideal role for someone who thrives on organization, loves process optimization, and takes pride in keeping operations seamless in a fast-paced startup environment.

This role is primarily remote, but does require occasional travel to our Redwood City office (1–2 times per month for 3–5 days at a time) to support onsite interviews, coordinate candidate flow, and ensure everything runs smoothly. There may also be periodic travel to our Philadelphia or Austin locations for onsite support and operational alignment.

You understand that even small errors in scheduling or candidate experience can ripple through the organization, and you take pride in your meticulous attention to detail. This role reports directly to the Head of Talent Acquisition.

What You’ll Do

  • Own and manage interview scheduling and logistics across multiple teams, roles, and time zones, ensuring a seamless experience for candidates and interviewers.

  • Maintain and optimize applicant tracking systems (ATS) and internal workflows to improve efficiency and reporting.

  • Coordinate high-volume recruiting efforts, including scheduling 15–20 interviews per week for clinical, technical, and operations roles.

  • Serve as the primary point of contact for candidates, ensuring clear communication and timely updates throughout the interview process.

  • Partner with Talent Acquisition and hiring managers to anticipate scheduling needs and proactively resolve conflicts.

  • Track and report recruiting metrics to support continuous process improvements.

  • Support other recruiting operations projects, including onboarding, documentation, and process audits.

What You Bring to the Table

  • 2–5 years of experience in recruiting operations, recruiting coordination, or a similar high-volume scheduling role—ideally at a startup or fast-growing company.

  • Exceptional organizational and time-management skills—you can juggle multiple priorities without dropping the ball.

  • Detail-oriented mindset—you catch errors before they happen and consistently maintain high standards.

  • Strong communication skills and professionalism in interactions with candidates, hiring managers, and cross-functional partners.

  • Comfort with technology, especially applicant tracking systems (ATS), calendars, spreadsheets, and scheduling tools.

  • Ability to anticipate needs, solve problems proactively, and work independently in a fast-moving environment.

  • A customer-first approach—you treat candidates like VIPs and ensure a positive recruiting experience.

Bonus: Experience supporting recruiting for clinical or technical teams, familiarity with remote coordination, or experience improving recruiting processes with technology.
