Our team is in-office 3 days a week (Mon, Tue, Thu) in either San Mateo, California or New York, New York.

About the Role

We're hiring a Recruiting Coordinator to run the day-to-day operations of our hiring process. Luminai is transforming how health systems operate and the team we build right now directly shapes what we're able to do next. A great coordinator accelerates everything.

You'll own interview scheduling, candidate communication, and pipeline hygiene across the full funnel. You'll partner with recruiters and hiring managers to keep a high volume of interviews running cleanly, and you'll be the person candidates remember as the reason their experience felt organized and human.

What You'll Do
  • Coordinate end-to-end interview scheduling across multiple roles and teams, including complex onsite loops, panels, and cross-timezone virtual screens.

  • Serve as the primary candidate contact throughout the process -- setting expectations, answering questions, and keeping things moving.

  • Maintain clean, accurate pipeline data in Ashby.

  • Support recruiters with pipeline reporting, candidate follow-ups, and sourcing logistics.

  • Coordinate offer preparation and support the closing process.

  • Keep hiring managers on track with interview timelines and feedback deadlines.

  • Identify and fix friction in our scheduling workflows, templates, and coordination systems.

What We're Looking For
  • 2-4 years in Recruiting Coordination, People Operations, or a similar high-volume scheduling and candidate-facing role.

  • Clear, professional communication with candidates and internal stakeholders at all levels.

  • Comfort managing shifting priorities in a fast-moving environment.

  • Discretion with confidential candidate and compensation information.

  • Nice to have: experience with Ashby, or prior time at a high-growth startup or healthcare/enterprise software company.

  • You communicate early and clearly, whether that's flagging a scheduling conflict or keeping a candidate in the loop on next steps.
