Hunton Services is seeking a highly organized and customer-focused HVAC Dispatcher to join our team. In this role, you’ll function as a key resource in coordinating field labor and materials, dispatching service technicians, managing billing, and overseeing contracts in assigned territories. This is a fast-paced, detail-oriented position that plays a vital role in ensuring superior service delivery and customer satisfaction.

What You’ll Do
  • Serve as the central point of coordination for service requests, technician dispatch, resource planning, and contract management within your assigned area.

  • Communicate with customers, sales engineers, and internal teams to gather and verify service requirements, warranty details, and job scopes.

  • Schedule, assign, and dispatch technicians for maintenance, startup, time and material work, emergency calls, and quoted projects using our automated dispatch system (Wennsoft).

  • Prepare service call slips, process service job estimates, and generate accurate documentation for billing and project tracking.

  • Ensure field technicians have complete and accurate information to execute work efficiently and meet customer expectations.

  • Review field documentation, vendor records, and customer feedback to support accurate invoicing, accounts payable, cost allocations, and service claims.

  • Follow up proactively on open issues, customer concerns, or incomplete tasks to ensure resolution and maintain high service standards.

  • Manage purchase orders and service tickets from initiation through completion and billing.

  • Maintain a positive and professional attitude while handling a high volume of communication in a dynamic environment.

QualificationsWhat You’ll Bring
  • Excellent organizational and time management skills with the ability to handle multiple tasks simultaneously.

  • Strong written and verbal communication skills, with a proactive approach to customer service.

  • Ability to interpret and act on field service work orders, project scopes, and warranty documentation.

  • Proficiency with dispatching software, fax/email platforms, and general office technology.

  • Knowledge of HVAC systems or industry experience is a plus.

  • A high degree of accuracy, attention to detail, and follow-through.

Preferred Background
  • Associate’s degree in a technical or business-related field required; Bachelor’s degree preferred.

  • Prior experience in a scheduling, dispatch, or service coordination role within a technical or field service industry is highly desirable.
