Job Summary

The Sales Operations Analyst provides operational support across the commercial organization, with primary responsibility for customer and manufacturer representative onboarding, contract coordination, account setup, and cross-channel commercial operations.

This role serves as a central connection point between Sales, Finance, Controlling, HR, Legal, Customer Support, Operations, Product, and IT to ensure customers and manufacturer representatives are properly established, contracts and required documentation are completed, and commercial processes are executed accurately and efficiently.

The position supports multiple sales channels and legal entities by coordinating account setup, maintaining CRM and ERP data, managing contract-related activities, providing reporting and analysis, and identifying opportunities to standardize and improve sales operations processes.

Key Responsibilities

1. Customer & Manufacturer Representative Onboarding

  • Serve as the primary operational point of contact for onboarding new customers and manufacturer representatives.
  • Coordinate the end-to-end onboarding process, including required documentation, approvals, contracts, account setup, pricing, system configuration, and internal stakeholder coordination.
  • Partner with Sales, Finance, Legal, Customer Support, Operations, and other functions to ensure onboarding requirements are completed accurately and on time.
  • Monitor onboarding progress and proactively identify missing information, delays, or issues requiring resolution.
  • Establish and maintain standardized onboarding procedures and documentation.
  • Ensure customer and manufacturer representative information is accurately established and maintained across CRM, ERP, and other commercial systems.
  • Support changes to existing customer and representative relationships, including account updates, ownership changes, channel changes, and organizational changes.

2. Contract & Commercial Administration

  • Serve as the primary operational resource for customer and manufacturer representative contract administration.
  • Coordinate contract initiation, review, execution, amendments, renewals, and terminations with Sales, Legal, Finance, and other stakeholders.
  • Maintain accurate records of contract status, key terms, effective dates, and required actions.
  • Monitor contract lifecycle activities and proactively communicate upcoming renewals, expirations, or required amendments.
  • Coordinate internal approvals and documentation required to establish or modify commercial relationships.
  • Ensure contract-related information is appropriately reflected in CRM, ERP, and other applicable systems.
  • Support resolution of operational questions related to contractual requirements and escalate legal matters to the appropriate Legal stakeholders.

3. Cross-Channel & Legal-Entity Operations

  • Provide operational support across Factory Direct, Independent Distribution, National Accounts, and other commercial sales channels.
  • Coordinate activities that involve multiple sales channels, business units, or legal entities.
  • Partner with Sales and functional stakeholders to ensure appropriate processes, account ownership, system setup, and approvals are followed.
  • Identify opportunities to improve consistency and standardization across channels and legal entities.
  • Support channel-specific initiatives, organizational changes, pricing updates, product changes, and other commercial activities.

4. Sales Operations & Account Management

  • Maintain accurate customer, manufacturer representative, and account information across CRM, ERP, and other commercial systems.
  • Serve as an operational point of contact for internal teams regarding account status, onboarding progress, contracts, and setup requirements.
  • Support customer and representative account maintenance throughout the relationship lifecycle.
  • Assist with customer issue resolution by coordinating with Sales, Operations, Customer Support, Finance, and other stakeholders.
  • Support product launches, product changes, and other commercial initiatives by coordinating data, documentation, and communications.

5. Reporting & Analytics

  • Execute sales reporting, forecasting, and analysis to support commercial teams and leadership.
  • Prepare and distribute standardized reports related to sales performance, bookings, pipeline activity, customer activity, and operational trends.
  • Maintain Power BI dashboards supporting Sales and Financial performance.
  • Analyze operational data to identify trends, exceptions, data quality issues, and opportunities for improvement.
  • Provide ad hoc analysis and reporting in support of commercial initiatives and leadership requests.

6. Process Improvement & Systems

  • Identify opportunities to simplify, standardize, and improve customer onboarding, contract administration, account management, and other sales operations processes.
  • Document standard operating procedures and establish clear process ownership.
  • Maintain and improve CRM and ERP data quality, accuracy, and consistency.
  • Partner with IT and business stakeholders on system enhancements, workflow improvements, and automation opportunities.
  • Identify process and system gaps and recommend practical solutions.
  • Support implementation of best practices across Sales Operations and commercial channels.

Qualifications

Basic Qualifications

  • Bachelor's degree in Business, Operations, Analytics, Marketing, Engineering, or related field, or equivalent combination of education and experience.
  • 2+ years of experience in sales operations, commercial operations, business operations, customer onboarding, contract administration, or related field.
  • Experience supporting customer or manufacturer representative onboarding.

Preferred Qualifications

  • Strong analytical, organizational, and problem-solving skills.
  • Proficiency in Excel and experience working with CRM, ERP, reporting, or business intelligence systems.
  • Strong attention to detail and ability to manage multiple priorities and deadlines.
  • Strong communication skills and ability to work effectively across Sales, Finance, Legal, Operations, Customer Support, and other functions.
  • Ability to manage processes involving multiple stakeholders and competing priorities.
