Sales Operations Specialist

As a Sales Operations Specialist, you will be responsible for participating in the design and implementation of processes that enable efficiency and effectiveness across multiple business teams including Sales, Marketing, Finance, and IT.
Working in close collaboration with other operations teams and leaders, you will be tasked with assisting in the review and examination of existing business sales processes and interface points between teams. To build on existing successful processes, you must examine control processes that are used to detect and/or prevent potential failures, inefficiencies, and waste. Where mature processes do not exist your responsibility is to identify, recommend, implement and test, and change that will allow for scalable growth. A successful candidate will combine operational experience and business acumen with a determination to drive meaningful change.

- The ability to grasp and understand a variety of business concepts and the ability to apply those concepts in a practical application in the business
- Technical acumen and ability to learn new systems and tools (e.g. Salesforce, Conga, etc.) to uncover actionable insights to drive positive outcomes. Candidates will be trained on tools and systems new to them.
Team Support
- Support customer facing pre and post-sale responsibilities
- Ensure contracts are properly documented and saved
- Triage questions and ad-hoc requests within the contracting process
- Help to manage complex deals through the entire deal process
- Coordinate billing as appropriate
- Review details of approvals and confirm that the information in the draft accurately follows the structure of the approved deal, including any special provisions.
- Work with post services teams to ensure compliance with published sales and business approval policies and procedures.
Operational Support:
- Initially, learn the business and observe key activities owned by our team
- Earn “quick wins” by taking over a defined subset of existing sales processes
- Perform ad-hoc reporting as needed for managers of various departments
- Participate in cross-functional projects as needed to drive business process improvements and implement tools
- Be a “utility player” assisting with a variety of activities that span across the Sales Operations team, including, serving as coverage for assigned day-to-day tasks
- Manage request intake queue to ensure the team is meeting SLA and triaging tasks through JIRA
- Responsible for working with Financial Operations and Legal in managing and operationalizing changes in our contracting solution for Sales, including the contract drafting process, generating documents that include complex pricing structures
- Identify project requirements by interviewing stakeholders, analyzing operations, determining project scope, documenting results, and preparing customer contracts
- Verify results / Conduct training / Write documentation / Prepare reports
Who You Are
- Operations Professional
- 2-4 years professional experience, including:
- Operations experience, preferably at a SaaS, eCommerce, or other subscription based company
- Business operations experience
- Bachelor’s degree
- Familiarity with SaaS and Agile workflows/technologies
- Familiarity with Salesforce, JIRA, Outreach, Conga, and Marketo
- Demonstrated success with end-to-end process design, rollout, and project management
- Demonstrated success with understanding systems and implementing scalable change
- Proven record using operations expertise to drive productivity, growth, and profitability in a dynamic organization
- Proficiency in the use of Google Suite, Word, PowerPoint, and especially Excel
- Mathematically Inclined - You have the capacity for logical thought, explanation, and justification and to carry out procedures flexibly, accurately, and efficiently
- Problem Solver - You enjoy using a combination of intuition and logic to come up with solutions
- Systems Thinker - You approach problem-solving with an eye for mechanisms, incentives and systematic solutions rather than good intentions
- Detail Oriented - You are good at dissecting the nuances of any project, when necessary, and recognize how critical it is to ensure that the smallest details are in line with the overall objectives
- Works Independently - Your experience allows you to operate independently and require little instruction on day-to-day work
