WHAT WE NEED...

Our marketing and business development team is seeking an experienced Senior Proposal & Marketing Coordinator to join our team. This position reports to the Director of Business Development and serves as the operational lead for proposal and marketing efforts firmwide and works closely with the Practice Group Leaders, Principals, and project teams. The ideal candidate will bring expertise in proposal management, workflow coordination, process improvement, and marketing operations while helping maintain consistency, quality, and accountability across all proposal, marketing, and communication activities.

WHAT YOU’LL DO….

Proposal & Pursuit Leadership

  • Lead the proposal process including statement of qualifications, resume review, coordination with subconsultants and project managers, editing, and proposal development.
  • Coordinate proposal schedules, priorities, and workload assignments.
  • Facilitate pursuit kickoff meetings and maintain pursuit schedules.
  • Support pursuit strategy development and Go/No-Go discussions.
  • Coordinate interview preparation and presentation development.

Marketing Operations & Workflow

  • Lead weekly proposal and marketing workload meetings.
  • Manage proposal and marketing workflows across offices and practice groups.
  • Coordinate priorities between proposal, marketing, and communications activities.
  • Develop and improve processes that increase team efficiency and effectiveness.
  • Maintain proposal content libraries, templates, and marketing resources.
  • Serve as the primary coordination point between Business Development, Practice Group Leadership, Proposal Staff, and Communications staff.

CRM & Reporting

  • Maintain oversight of CRM data quality and standards.
  • Track proposal activity, win/loss metrics, and marketing performance indicators.
  • Prepare reports and dashboards for leadership as required.
  • Monitor marketing and proposal KPIs and identify trends for improvement.

Team Coordination

  • Provide day-to-day workflow coordination and support for Proposal and Communications staff.
  • Assist with onboarding and training efforts.
  • Mentor junior staff and support professional development.

Additional Responsibilities

  • Maintain awareness of market trends, industry opportunities, and competitor activity.
  • Support business development initiatives as directed by the Director of Business Development.
  • Other duties as assigned.

MINIMUM REQUIREMENTS…

  • Bachelor's degree in Marketing, Communications, Journalism, or related field.
  • 8+ years of proposal and marketing experience.
  • 5+ years within the A/E/C industry.
  • Strong understanding of proposal strategy, marketing operations, CRM systems, and workflow management.
  • Advanced proficiency in Adobe Creative Suite and Microsoft Office.
  • Experience mentoring or coordinating teams.
  • Ability to adapt to high-energy situations and maintain composure and diplomacy.
  • Detailed and organized, yet creative.
  • Ability to meet deadlines, delegate, and collaborate with team members
  • Ability to clearly communicate how a given task or deliverable supports the larger goals for the department and the firm.

PREFERRED QUALIFICATIONS…

  • Deltek Vantagepoint knowledge is a plus
  • Experience in supporting proposals for various market sectors and pursuit types (e.g., private, public, and federal) is preferred.
  • Experience strategically partnering and supporting senior staff on business-critical projects.
