You will be the connective tissue between what gets sold and what gets delivered — ensuring every in-service reflects the quality and educational value that MakeMusic and Alfred Music stand for. This role sits on our Education team and reports directly to the Director, Sales.

Core Functions:

  • Serve as the primary point of intake for all in-service requests sourced by Sales, Customer Success, and inbound inquiries from school districts — triaging, prioritizing, and scheduling sessions in a timely and organized manner.
  • Build, maintain, and manage a network of qualified in-service presenters and clinicians who deliver sessions on behalf of MakeMusic and Alfred Music, including sourcing new presenters as the program grows.
  • Coordinate all logistics for scheduled in-services, including presenter assignments, materials preparation, scheduling communications, travel coordination, and post-event follow-up.
  • Develop and maintain a scalable process and tracking system for managing the full in-service lifecycle from initial request through delivery and outcome reporting.
  • Partner closely with Sales and Customer Success teams to align in-service scheduling and topics with account goals, renewal timelines, and expansion opportunities.
  • Track and report on program metrics — sessions delivered, districts served, presenter performance, and participant feedback — to support continuous improvement and leadership visibility.
  • Establish and uphold quality standards for in-service delivery, gathering feedback from participants and presenters to continuously improve program effectiveness.
  • Respond to inbound in-service requests directly from school districts, providing a professional and responsive point of contact for district administrators and educators.
  • Maintain accurate records of all in-service activities, requests, and outcomes in the company’s CRM system (HubSpot or equivalent).
  • Collaborate with the Education team on content, materials, and resources that support best-in-class in-service delivery across Music Brands.
  • Identify opportunities to scale the program, including developing standardized presenter training, playbooks, and delivery frameworks that reduce variability and raise the quality floor.
  • Stay up to date with music education trends, school funding opportunities, and educational policies that impact music programs.
  • Perform other duties as assigned.

Requirements

Required Qualifications:

  • 3+ years of experience in program coordination, event management, professional development operations, or a similar role managing multiple concurrent workstreams.
  • Demonstrated ability to manage relationships with external presenters, vendors, or contractors — including sourcing, vetting, and performance management.
  • Strong project management and organizational skills with the ability to manage high request volume without dropping the ball.
  • Proficiency in CRM tools (HubSpot, Salesforce, or equivalent) and project tracking or scheduling tools.
  • Excellent communication and interpersonal skills, with a professional and responsive approach to internal and external stakeholders.
  • Ability to work cross-functionally with Sales, Customer Success, and Education teams to prioritize and align scheduling with business needs.
  • Background or genuine interest in music education, K-12 education, or edtech preferred.

Desired Qualifications:

  • Familiarity with music education curriculum, Alfred Music products, MakeMusic software, or related pedagogy.

  • Ability to quickly build rapport with educators, district administrators, and internal sales and success teams.
  • Demonstrated ability to take ownership and accountability and deliver on goals independently.
  • Strong written communication skills with the ability to produce clear program documentation, reports, and stakeholder updates.
