Job purpose


The Service Department Administrative Assistant will perform all aspects of tasks associated with inside service, sales  and parts department that meet with the requirements of WPI and customer needs. Assisting in building and processing service work orders, payroll management, dispatch and customer relations. This position is also responsible for coordinating and maintaining schedule of events for the service manager and service department.

 

Duties and responsibilities


  • Perform necessary administrative tasks for Service and Parts Department
  • Perform necessary tasks required for maintaining Parts inventory
  • Review and resolve inventory issues
  • Assist in making necessary decisions for daily operations
  • Perform other duties as assigned

 

Qualifications

Qualifications

 

  • Must have 1 year previous Department Administrative Assistant
  • GED or High School Diploma
  • Prefer bilingual (English/Spanish) speaking and writing skills
  • Mechanical background or knowledge preferred  

 

Knowledge, Skills, and Abilities

 

  • Must have good phone etiquette, and be able to manage a multi-line telephone
  • Must meet goals and objectives set forth by the company
  • Must conform to company policies and procedures
  • Must have a current driver’s license and acceptable driving record per WPI insurance carrier standards
  • Must have the ability to work flexible hours and days
  • Must have the ability to type 25 words per minute
  • Must be proficient with Windows base environment. (Microsoft Word, Excel, Power Point, Access and Outlook)
  • Must be dependable and able to work independently
  • Must have customer service experience
  • Must maintain good client relations
  • Must maintain professional appearance
  • Must promote and maintain a clean, neat and safe work environment
  • Must have the ability to effectively operate various types of office equipment, including but not limited to computer, fax, printer and telephone system
  • Must able to protect the company assets and interest

Working Conditions:

  • Typical hours of work Monday through Friday; 8:00 a.m. to 5:00 p.m.
  • Weekend hours as necessary.
