About the Role

Are you a highly organized and proactive professional who thrives in a fast-paced, fully remote global environment? Do you excel at managing high-volume, complex workflows with precision and agility? As our Professional Services Coordinator (Sales), you'll be the vital operational bridge connecting our Sales, Solution Engineering, and Professional Services teams. You'll ensure accuracy, consistency, and timeliness in preparing and executing service proposals and project scopes, all while delivering a seamless customer experience. If you combine strong emotional intelligence with exceptional problem-solving skills, and are passionate about driving operational excellence, this role is for you!

What You’ll Do:

 

Orchestrating Service Proposals & Projects
  • Manage and prioritize a high volume of service scopes, project timelines, and cost estimates with accuracy.
  • Serve as the key operational liaison, ensuring transparent and timely communication between Sales, Solution Engineering, and Professional Services.
  • Facilitate smooth handoffs of proposals and project documentation from pre-sales to delivery.
  • Conduct thorough quality assurance on proposals, ensuring alignment with service capabilities and proactively escalating risks.
Driving Operational Excellence
  • Monitor, collect, and report on service pipeline activity and forecasting to align resource allocation.
  • Maintain and update standardized proposal templates, documentation, and internal tools for efficiency.
  • Support the development and execution of process improvements to boost proposal throughput and delivery effectiveness.
  • Ensure accurate entry and maintenance of project data within CRM and PSA platforms (preferably NetSuite).
Collaborating & Problem-Solving
  • Collaborate cross-functionally to stay informed on product suites, service offerings, and delivery methodologies.
  • Demonstrate resilience and adaptability to manage shifting priorities and unexpected challenges effectively.
  • Coordinate communication across global teams and time zones, ensuring responsiveness and stakeholder engagement.
  • Detect and communicate discrepancies in scope, pricing, or assumptions, collaborating with stakeholders for timely resolution.

 

What You’ll Bring
  • 3–5 years of experience in professional services coordination, sales operations, or project support within SaaS or consulting.
  • Proven ability to manage high-volume, deadline-driven workflows with exceptional attention to detail.
  • Exceptional organizational skills with the ability to prioritize and multitask effectively.
  • Strong verbal and written communication skills, with a demonstrated ability to collaborate across distributed, remote teams.
  • High emotional intelligence, adaptability, and a proactive problem-solving aptitude.
  • Proficiency with PSA tools (preferably NetSuite) and advanced spreadsheet skills (Excel or equivalent).
  • Comfort working remotely across multiple time zones in a global scale-up environment
