Job Description

Hebbia is looking for a dynamic and organized Talent Coordinator to join our People team. As a Talent Coordinator at Hebbia, you will play a crucial role in supporting our talent acquisition efforts by coordinating and facilitating various aspects of the recruitment process. You will be the backbone of our hiring operations, ensuring a smooth and efficient experience for both candidates and hiring managers. This is a fantastic opportunity for someone passionate about AI and people, looking to grow their career in talent acquisition and human resources at a hyperscaling top tier vc-backed AI startup. 

This role is 5 days per week onsite in our SoHo office in NYC. 

Responsibilities
  • Candidate Experience: Ensure a positive candidate experience from initial contact through to onboarding by managing communication and providing timely updates.

  • Interview Coordination: Leverage Ashby and G Suite to schedule and coordinate interviews, including video interviews and on-site meetings.

  • Job Postings: Assist with creating, posting, and managing job advertisements on various platforms. Monitor application flow and optimize posting strategies as needed.

  • Applicant Tracking: Maintain accurate records in Ashby (ATS), ensuring all candidate information and scorecards are up-to-date and appropriately managed.

  • Recruitment Support: Support recruiters in sourcing candidates through various channels, including job boards and networking events.

  • Office & Workplace Operations: Support day-to-day office management, including restocking snacks and beverages, coordinating with vendors and building management, assisting with workplace logistics, and helping plan team events, onsite interviews, and office gatherings.

  • Onboarding Assistance: Collaborate with HR and hiring managers to facilitate a smooth onboarding process for new hires, including preparing offer letters and coordinating start dates.

  • Employer Branding: Assist in promoting Hebbia AI’s employer brand through events and other creative initiatives.

Who You Are
  • Bachelor’s degree in Human Resources, Business Administration, or related field.

  • 1+ years of experience in recruitment coordination, HR, or related administrative roles.

  • Strong organizational skills with the ability to multitask and prioritize effectively.

  • Excellent communication and interpersonal skills.

  • Proficiency with Ashby is a strong plus. 

  • Detail-oriented with a proactive approach to problem-solving and a strong bias for action. 

  • Ability to work independently and as part of a team in a fast-paced environment.

  • Passion for technology and AI is a plus.

Compensation

The salary for this position is $75,000. However, adjustments outside of this may be considered for candidates whose qualifications significantly differ from those outlined in the job description.
