Job Description Summary

The Workplace Services Coordinator supports the facilities organization and workplace experience at a specific location, set of buildings, or campus environment. The Workplace Services Coordinator is responsible for supporting the day-to-day implementation of policies, procedures, programs, hospitality services, and workplace services delivery that provides a well-managed and well-maintained building. Places an emphasis on a positive response to the concerns and needs of the client, environmental health and safety, hospitality, and quality programs, in coordination with the client's goals and objectives.

Responsibilities

  • Ensure the day-to-day operations of the facility(s) or campus, including reception, events, janitorial, life-safety, engineering, site services, and general maintenance are implemented and carried out in a manner consistent with C&W policies and client directives.
  • Ensures a smooth and seamless employee and guest experience by communicating warmly (both oral and written), clearly, and effectively with the employee, guest, employee host, vendors, etc. to meet the request at hand.
  • Ensures coverage for reception area during all business hours and ready to assist employees.
  • Provides support for employees with Lost & Found and Luggage Management, while adhering to the operating procedures outlined for each.
  • Performs general office duties, as required, including sorting and delivering mail, performing outgoing shipping, wayfinding support, facilitating office tours, and assisting internal clients with logistics needs.
  • Provides a warm welcome to all visitors and ensures they are connected with their host, while following badging protocol.
  • Supports Executives and VIPs with meeting set up, catering, and supply needs.
  • Under the direction of the Regional Facilities Leadership, respond promptly to requests for building maintenance, repairs, cleaning needs, etc. from building occupants and for the implementation of ongoing contract programs to address and resolve needs and problems.
  • Create work orders and assign work orders to the engineering staff, subcontractors, and vendors.
  • Report on open and closed work orders and check the status of open work orders with the assigned party.
  • Request, review, and submit work orders, bids, and proposals from vendors.
  • Verify final invoice pricing and process payments in a timely manner.
  • Expected to be thoroughly familiar with the management contract, vendor agreements, and other building/facility contracts and all requirements contained therein
  • Monitor and ensure that tenants and vendors comply with insurance requirements and coordinate all claims as required
  • Proactively inspect the facility, systems, rooms, common areas, etc. and report back any findings or issues to the Regional Facilities Leadership.

Education:

High School Diploma or equivalent from an accredited institution (required).

Customer service, hospitality, or reception experience (preferred).

Experience in security, facilities, or access control environments (preferred).

Must successfully complete Basic First Aid, AED, and CPR certification.

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.


The company will not pay less than minimum wage for this role.


The compensation for the position is: $23.70 - $27.884615
