We are seeking a highly organized and proactive Administrative Support Executive to provide comprehensive administrative and operational support to the APAC Head and Country Lead. This role requires a high level of professionalism, discretion, and the ability to manage multiple priorities in a fast-paced, dynamic environment.

Job Responsibilities:

Executive Support:

  • Manage complex calendars, schedule meetings, and coordinate appointments across multiple time zones.

  • Organize travel arrangements including flights, accommodation, visas, and itineraries.

  • Prepare and edit correspondence, reports, presentations, and other documents.

  • Handle expense reporting and reconciliation in a timely manner. ​

  • Accomplish any other tasks or duties assigned by the manager as needed.

Meeting & Event Coordination:

  • Plan and coordinate internal and external meetings, town halls, and regional leadership events.

  • Prepare meeting agendas, take minutes, and follow up on action items.

  • Liaise with stakeholders across APAC to ensure smooth execution of events and meetings.

Communication & Liaison:

  • Act as a point of contact between the APAC Lead and internal/external stakeholders.

  • Maintain confidentiality and professionalism in all communications.

  • Implementation of any new processes or system adoption for commercial team

Operational & Project Support:

  • Assist in tracking regional initiatives, compiling updates, and supporting project documentation.

  • Have good understanding of Salesforce (SFDC)

  • Support onboarding of new team members and coordination with HR and IT.

  • Maintain organized filing systems and databases for easy retrieval of information.

Requirements:

  • Minimum 3-5 years of proven experience in executive or administrative support, preferably in a regional or multinational setting.

  • Strong organizational and time management skills with attention to detail.

  • Excellent written and verbal communication skills.

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (Teams, SharePoint). Experience with Salesforce (SFDC) is a plus.

  • Ability to work independently and handle confidential information with discretion.

  • Comfortable working across cultures and time zones.
