The Product Data Coordinator is the entry point for product data work in the Art Studio. This role manages incoming requests from internal Art Studio teams and corporate departments and owns the accuracy of product specification sheets before they are submitted for upload into PLM, ERP, and QuickBase. Working under the direction of the Lead – Product Data and alongside the Product Data Specialists, the Coordinator verifies that styles, constructions, materials, and dimensions are complete and correct at the source, and executes audits requested across systems. This position requires strong organization, advanced Excel capability, and deep familiarity with product construction in a fast-paced make-to-order manufacturing environment.
In This Role
- Own the department inbox and intake queue—logging, categorizing, and prioritizing incoming product data requests, and assigning each to the correct owner or workflow
- Serve as the day-to-day point of contact for internal Art Studio teams and corporate departments on request status, required inputs, and turnaround expectations, tracking open items through completion and flagging aging or blocked requests to the Specialist or Lead
- Build and maintain internal product specification sheets, capturing dimensions, materials, finishes, construction details, bill of materials components, and artist and image information
- Verify that every spec sheet is complete, internally consistent, and traceable to approved development documentation before it is released for system upload, confirming that styles, construction methods, and material callouts are named and applied correctly
- Return incomplete or non-conforming spec sheets to the originating team with specific corrections identified
- Execute audits requested across PLM, ERP, and QuickBase, working from defined checklists to identify missing fields, mismatched attributes, and system-to-system inconsistencies
- Compile audit findings into clear, actionable summaries and escalate recurring or systemic issues to the Specialist or Lead rather than applying one-off fixes
- Maintain department trackers, logs, and reference files so request status, spec sheet versions, and audit history remain visible to the team
- Apply advanced Excel skills—lookups, INDEX/MATCH, pivot tables, conditional logic, and data cleanup—and a working understanding of database structure, including unique identifiers, parent/child relationships, and how incomplete source data affects downstream systems

The Ideal Person
- 2+ years of experience in product data, data entry, operations coordination, or a comparable detail-driven role
- Experience with Advanced Excel, including lookups, INDEX/MATCH, pivot tables, conditional logic, and data cleanup across large or multi-source files
- Working knowledge of database structure—records and fields, unique identifiers, and parent/child relationships preferred
- Familiarity with product construction: able to read and interpret dimensions, materials, finishes, and bills of materials, and to recognize when a spec is incomplete or inconsistent
