Banquets Administrative Assistant


Kalahari Resorts & Conventions is seeking a Banquets Administrative Assistant. In this role, you will be responsible for serving as the first point of contact for Banquets associates, clients, and internal partners; supporting daily administrative operations; coordinating event documentation; assisting with scheduling and payroll support.


As part of our leadership team, you’ll embody our Promise to Lead with Love—guiding, supporting, and inspiring associates while delivering extraordinary guest experiences. You’ll ensure events run smoothly, creating memorable experiences for guests while enabling associates to deliver exceptional service.


Key Responsibilities 

  • Answer all incoming calls, emails, and radio communications to the Banquets department and route messages appropriately.
  • Prepare, organize, and maintain event files including Banquet Event Orders (BEOs), resumes, food labels, diagrams, timelines, menus, and service notes; ensure version control and timely distribution.
  • Support Banquet Managers with event planning tasks including room set-up details, linen and equipment needs, signage requests, and special arrangements.
  • Assist with staff scheduling support: track availability, post schedules, communicate changes, and maintain call-out/attendance documentation per policy.
  • Assist with post-event documentation such as consumption sheets, checklists, incident notes, lost-and-found routing, and billing support documentation as requested.

What We’re Looking For 

  • Prior hospitality, banquets, or administrative support experience helpful but not required.
  • Professional verbal and written communication, confidentiality, and the ability to prioritize in a fast-paced environment are a must.
  • Ability to maintain an organized office including typing, filing, computer use, telephone/email communication, and basic office equipment operation.
  • Variable hours may include evenings, weekends, and holidays based on business needs.
  • Bi-lingual skills are preferred but not required.
