About the Role
As a Billing Specialist, you will be responsible for managing the full billing cycle for our subscription customers. This role is an accounting function but also client facing. You would maintain account accuracy around the order to cash process and subsequent contract modifications, conduct collections outreach for overdue accounts, and act as a key point of contact for billing inquiries. You’ll ensure a smooth, professional experience for our customers while supporting internal teams with insights and resolutions around billing-related matters.
Key Responsibilities
• Subscription Management and Maintenance: Oversee and handle all aspects of a customer’s subscription lifecycle which may include:
◦ Onboarding and activation of new subscribers.
◦ Billing and invoicing on a recurring basis (monthly, annually, etc.).
◦ Ensuring plan changes like upgrades, downgrades, and cancellations are reflected accurately on their account.
◦ Handling proration, credits, and discounts.
◦ Renewal notifications and follow up.
◦ Customer communication regarding subscription status, payment issues, billing terms, or updates.
• Accounts Receivables/Collections: Review A/R on a daily basis, follow up on overdue invoices, perform personal collections outreach, manage payment plans, and work with internal teams on resolutions.
• Dispute Management: Investigate claims, submit evidence, and implement better practices for prevention to minimize future financial losses.
• Client Support: Respond to customer billing inquiries via email and phone offering clear explanations and resolutions in a timely manner.
• Issue Escalation: Handle complex or escalated billing requests or issues, working cross-functionally with GTM teams to investigate and resolve.
• Reporting: Prepare regular billing and collections reports; assist with audits.
• Process Improvement: Identify opportunities to streamline billing operations, reduce errors, and enhance the client experience.
• Ad Hoc Projects - Work on projects with little to no supervision.
Non-Negotiables:
- 2+ years of experience in a billing, accounts receivable, financial operations or customer service role.
- Analytical Mindset - strong attention to detail with excellent organizational and time-management skills. Critical and creative thinking are key.
- Professional written and verbal communication skills - especially in customer-facing interactions. Can’t be afraid to have tough conversations. Knowing when to be assertive and when to be flexible are essential; reading the room.
- Comfortable with ambiguity and a fast-paced environment - adaptable to frequent change.
- Cross-Functional Collaboration - Have the confidence and the ability to work with all teams proactively and be solution oriented.
Nice-to-haves:
- Familiarity with SaaS Billing Models
- Working knowledge of billing systems and tools (e.g., QuickBooks, NetSuite, Stripe, or similar).
- Experience with CRM or helpdesk tools (e.g., Salesforce, Zendesk)
- Knack for process improvement and leveraging AI
