Key Responsibilities
We are looking for a highly organized, detail-oriented coordinator to support the administrative and logistical aspects of the speaker journey. This execution-focused role coordinates speaker onboarding, communications, assets, schedules, travel and event materials to help deliver a seamless experience. The position does not include content development or speaker selection.
 
In this role, you will:
  • Coordinate speaker onboarding and collect required materials, including headshots, bios, company logos and session descriptions
  • Manage speaker communications, including deadlines, reminders and follow-ups.
  • Add and organize speaker assets in SharePoint
  • Create and maintain agenda and speaker pages
  • Create and manage Speaker consent forms for event and podcast (via Adobe)
  • Coordinate with the registration to register speakers and their support staff
  • Work with the programming team to update the Speaker Booklet and Guidebook
  • Maintain the online Speaker Resources page
  • Collect and organize speaker presentations for internal review and production
  • Compile and verify speaker and session information for use in marketing and communications
  • Coordinate content preparation meetings and onboarding calls for speakers and stage hosts
  • Manage the onsite hair and makeup schedule and send appointment invites to speakers
  • Send out invitations to speaker and their teams confirming technical rehearsal slots
  • Coordinate speaker travel as needed, including airfare, ground transportation and hotel accommodations
  • Provide onsite production support by verifying room and stage setup, confirming the correct presentations are loaded, and ensuring speakers and stage hosts are present and prepared.
  • Pitching in as needed to help create a fantastic experience for speakers, sponsors and attendees, including support for general logistics activities
 
Skill & Experience:
To be successful in this role, you must have/be: 
  • Minimum 2-3 years of relevant professional experience
  • Excellent written communication skills, with the ability to correspond professionally with senior-level executives and their teams
  • Strong organizational skills and attention to detail
  • Experience creating and managing spreadsheets and doing data merges
  • Ability to solve problems quickly and exercise sound judgment while managing detailed logistical tasks 
  • Strong commitment to quality, accuracy and the speaker experience
  • Self-motivated and able to manage multiple priorities in a fast-paced, deadline-driven environment 
  • Interest in marketing, adtech, martech and the creator economy
  • Ability and willingness to travel to the event
  • Availability to work occasional evenings and weekends, particularly in the lead-up to and during the event 
 
COMPENSATION & BENEFITS:
  • Up to $60,000-$65,000 based on experience
  • This position will be eligible for a competitive bonus
