Summary

Bluum is seeking a detail-oriented and highly organized Contract Coordinator to support the pursuit of new contract opportunities, and the administration, coordination, and ongoing reporting of the company’s existing contract portfolio. This role is responsible for preparing and submitting bid, RFP, and contract application packages, maintaining accurate contract records and documentation, monitoring contract milestones, renewal dates, and reporting deadlines, and partnering with teams across the organization to ensure contractual, policy, and regulatory requirements are met.

The Contract Coordinator will serve as an important resource for compliance-related documentation and processes while helping Bluum maintain consistent, accurate, and efficient practices across the organization.

Primary Responsibilities

  • Contract Administration: Perform day-to-day contract administration activities, including maintaining executed contracts and required documentation, monitoring contract compliance requirements and deadlines, reviewing records for accuracy and completeness, and ensuring established policies and procedures are consistently followed.
  • New Contract Submissions: Support applications for new contracts, including monitoring bid and RFP opportunities, assembling and formatting submission packages, gathering required forms and certifications, tracking submission deadlines, and coordinating internal reviews and approvals prior to submission
  • Documentation & Record Management: Maintain accurate and organized compliance files, records, certifications, and supporting documentation. Ensure information is current, complete, appropriately stored, and readily available for internal or external review.
  • Compliance Review: Review documentation and business processes to identify missing information, inconsistencies, or potential compliance concerns. Work with appropriate internal teams to resolve discrepancies and obtain required documentation.
  • Audit Support: Assist with internal and external audits, contract compliance reviews, and information requests by gathering documentation, preparing records, tracking outstanding items, and supporting timely completion of corrective actions when necessary.
  • Policy & Procedure Support: Assist with the development, documentation, implementation, and maintenance of compliance-related policies, procedures, templates, checklists, and standard operating procedures.
  • Cross-Functional Collaboration: Partner with Sales, Finance, and Operations to communicate contract compliance requirements and deadlines, obtain necessary information, resolve issues, and support consistent processes throughout the organization.
  • Reporting & Tracking: Maintain compliance trackers and prepare reports to monitor deadlines, spend or utilization against contract value, renewal and expiration dates, outstanding requirements, documentation status, and other key compliance activities. Distribute reporting to internal stakeholders and, where required, to customers.
  • Continuous Improvement: Identify opportunities to improve compliance processes, documentation, and workflows while supporting greater accuracy, efficiency, consistency, and scalability.

Qualifications

  • Two or more years of experience in compliance, administration, operations, contract administration, or a related field preferred.
  • Strong organizational skills with exceptional attention to detail and accuracy.
  • Ability to review detailed documentation and identify discrepancies, missing information, and potential compliance concerns.
  • Excellent verbal and written communication skills.
  • Intermediate proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
  • Experience maintaining records, documentation, reports, or compliance tracking systems.
  • Ability to prioritize multiple responsibilities and deadlines in a fast-paced environment.
  • Ability to work independently while collaborating effectively with cross-functional teams.
  • Strong problem-solving skills and the ability to follow established policies and procedures.
  • Ability to handle confidential and sensitive information with professionalism and discretion.
  • Demonstrated commitment to accuracy, accountability, and continuous improvement.

Work Environment

This position requires the ability to manage multiple priorities, communicate effectively across departments, and maintain a high level of accuracy and confidentiality. The Compliance Specialist will work collaboratively with internal stakeholders to support Bluum's compliance needs and overall business operations.
