Job Summary
The Customer Service Representative is responsible for providing professional, friendly, and efficient service to customers through phone, email, chat, or in-person communication. The representative assists customers with questions, orders, accounts, billing, product or service information, complaints, and general support needs. The ideal candidate is patient, dependable, detail-oriented, and able to communicate effectively while handling multiple customer requests.
Key Responsibilities
Answer incoming customer calls, emails, chats, and other inquiries promptly and professionally.
Identify customer needs and provide accurate information about products, services, policies, and procedures.
Resolve customer complaints and concerns while maintaining a positive and professional attitude.
Process orders, returns, exchanges, refunds, payments, cancellations, and account updates when applicable.
Research customer issues and work with other departments to find appropriate solutions.
Document customer interactions, requests, complaints, and resolutions in the company's customer relationship management (CRM) or ticketing system.
Follow up with customers to ensure their issues have been resolved satisfactorily.
Maintain accurate customer records and protect confidential customer information.
Escalate complex, urgent, or unresolved issues to supervisors or appropriate departments.
Meet established performance standards for customer satisfaction, response time, productivity, quality, and attendance.
Stay knowledgeable about company products, services, promotions, procedures, and policies.
Identify recurring customer issues and communicate trends or recommendations to management.
Assist with administrative and operational tasks as needed.
Follow company policies, procedures, and applicable privacy and security requirements.
Maintain a professional and customer-focused approach during difficult or stressful interactions.
Required Qualifications
High school diploma or equivalent preferred.
Previous customer service, call center, retail, hospitality, office, or related experience preferred.
Strong verbal and written communication skills.
Professional and courteous telephone and interpersonal skills.
Basic computer skills and the ability to learn new software quickly.
Ability to type, navigate multiple applications, and accurately enter information.
Strong problem-solving and decision-making abilities.
Excellent attention to detail and organizational skills.
Ability to work independently and as part of a team.
Ability to remain calm and professional when dealing with upset or demanding customers.
Reliable attendance and punctuality.
Preferred Qualifications
Experience with CRM, help-desk, ticketing, or customer-service software.
Experience handling high-volume customer inquiries.
Bilingual or multilingual communication skills.
Experience with order processing, billing, sales support, or account management.
Previous call-center experience.
