We call our Austin, TX, headquarters home and have a hybrid work model that allows employees the flexibility to work from home one day per week. Our dog-friendly office is centrally located north of downtown and features a fully stocked kitchen, on-site fitness room, and hosts quarterly company-wide team events. This role can be located out of our Austin office or can be remote.
The Role
As Executive Assistant to the CEO at Billd, you will serve as a critical partner to the CEO, ensuring his time and attention are optimized across a fast-paced, high-growth environment. You’ll manage day-to-day scheduling, coordinate meetings with internal and external stakeholders, and serve as the gatekeeper for incoming requests. Beyond calendar management, you’ll take ownership of a wide variety of administrative and organizational tasks to keep the CEO focused on strategic priorities.
This role also functions as Billd’s office administrator, helping maintain a well-run, stocked, and engaging office environment for our in-person team. You’ll play a vital role in ensuring the operational heartbeat of the company runs smoothly.
Key Responsibilities
CEO Support
- Manage and optimize the CEO’s calendar, including scheduling, rescheduling, and prioritization
- Coordinate meetings with internal teams, investors, customers, and external partners
- Prepare the CEO for meetings by gathering materials, agendas, and notes
- Maintain critical company documentation, including NDAs, contracts, and other key agreements on behalf of the CEO
- Handle personal and professional administrative tasks with discretion and efficiency
- Track and follow up on key deliverables, ensuring nothing falls through the cracks
Office Administration
- Maintain and stock office and kitchen supplies, coordinating with vendors as needed
- Oversee day-to-day office operations and facilities coordination
- Assist in planning and executing in-office events, team meetings, and offsites
- Support onboarding logistics for new employees
- Serve as the point of contact for visitors and incoming inquiries to the Austin HQ
Organizational Support
- Assist with company-wide scheduling needs (Town Halls, quarterly planning, etc.)
- Coordinate travel and logistics for CEO and executive team as needed
- Provide administrative support to other executives on a limited basis
Skills and Qualifications
- 3+ years of experience supporting senior executives in a fast-paced environment
- Highly organized and detail-oriented, with exceptional time management skills
- Discretion and professionalism in handling confidential and sensitive information
- Strong communication and interpersonal skills
- Proficiency in Google Workspace (Calendar, Docs, Sheets), Slack, and Zoom
- Comfortable working in-office Monday–Thursday, with optional WFH on Fridays
- Self-starter mentality, thrives on taking initiative and anticipating needs
- Experience in office management or facilities coordination a plus
- Ability to work independent with limited support
