The Executive Assistant I provides high-level administrative support to designated members of the Executive Leadership Team (excluding the CEO and Superintendent), ensuring smooth coordination of schedules, communications, and project-related tasks. This role serves as a liaison to internal and external stakeholders, manages complex schedules and logistics, and helps drive operational excellence through proactive support and execution.

 Role and Responsibilities

  • Provide high-level administrative assistance to designated C-Suite leaders (excluding the CEO and Superintendent).
  • Anticipate needs and proactively manage calendars, communications, and task coordination.
  • Coordinate travel arrangements and itineraries for assigned executives.
  • Provide administrative and coordination support for department- or division-level initiatives.
  • Maintain records, retrieve information, and produce correspondence, reports and forms. 
  • Handle sensitive information with discretion and maintain a high level of professionalism in all interactions.
  • Support logistics for internal and external meetings, including agenda preparation, materials, room setup, and minutes tracking.
  • Maintain organizational contracts, including tracking timelines, renewal dates, and ensuring proper documentation is filed and accessible.
  • Collaborate with internal stakeholders to support contract-related workflows as directed by General Counsel.
  • Partner with the Executive Operations Manager to support organizational events and retreats as needed.
  • Provide backup support to the Executive Operations Manager, including assistance with scheduling, communications, and operational coordination during high-volume periods or when coverage is needed.
  • Ensure that all work generated from department reflects a neat, professional image. 
  • Ensure departmental equity and compliance with all company policies and procedures.
  • Represent the company in the community in a positive fashion. 
  • Communicate professionally on behalf of executives and maintain positive relationships with internal and external partners.
  • Assist with other projects as assigned.

Supervisory Responsibility

This position has no supervisory responsibilities 


Required Skills & Qualifications 

  • High School Diploma or GED
  • Must have at least four years of progressive responsibility in supporting an Executive. 
  • Ability to adapt in a dynamic, mission-driven environment and maintain confidentiality at all times.
  • Strong interpersonal and communication abilities, with a high degree of emotional intelligence.
  • Exceptional time-management, organizational, and multitasking skills
  • Ability to perform advanced, diversified and confidential administrative duties. 
  • Creative and flexible problem solving. 
  • Reliable transportation with valid driver license and proof of insurance with ability to travel to various worksites.

Preferred Qualifications:

  • Associate or bachelor’s degree in business administration or related field.
  • Experience supporting multiple executives across departments or functions.
  • Understanding of nonprofit or educational organization operations.

Physical Requirements 

  • Must be able to lift up to 30 pounds at times.
  • Prolonged periods of sitting at a desk and working on a computer.
  • While performing the duties of this job, the employee is frequently required to walk; balance; stoop, kneel, crouch, and talk or hear. 
  • The ability to cope with and tolerate moderate levels of stress is also a necessity. Specific vision abilities required by this job include close vision, distance vision, depth perception and ability to adjust focus
  • Ability to use hands and fingers to operate a telephone and keyboard.
