The Executive Assistant I provides high-level administrative support to designated members of the Executive Leadership Team (excluding the CEO and Superintendent), ensuring smooth coordination of schedules, communications, and project-related tasks. This role serves as a liaison to internal and external stakeholders, manages complex schedules and logistics, and helps drive operational excellence through proactive support and execution.
Role and Responsibilities
- Provide high-level administrative assistance to designated C-Suite leaders (excluding the CEO and Superintendent).
- Anticipate needs and proactively manage calendars, communications, and task coordination.
- Coordinate travel arrangements and itineraries for assigned executives.
- Provide administrative and coordination support for department- or division-level initiatives.
- Maintain records, retrieve information, and produce correspondence, reports and forms.
- Handle sensitive information with discretion and maintain a high level of professionalism in all interactions.
- Support logistics for internal and external meetings, including agenda preparation, materials, room setup, and minutes tracking.
- Maintain organizational contracts, including tracking timelines, renewal dates, and ensuring proper documentation is filed and accessible.
- Collaborate with internal stakeholders to support contract-related workflows as directed by General Counsel.
- Partner with the Executive Operations Manager to support organizational events and retreats as needed.
- Provide backup support to the Executive Operations Manager, including assistance with scheduling, communications, and operational coordination during high-volume periods or when coverage is needed.
- Ensure that all work generated from department reflects a neat, professional image.
- Ensure departmental equity and compliance with all company policies and procedures.
- Represent the company in the community in a positive fashion.
- Communicate professionally on behalf of executives and maintain positive relationships with internal and external partners.
- Assist with other projects as assigned.

This position has no supervisory responsibilities
Required Skills & Qualifications
- High School Diploma or GED
- Must have at least four years of progressive responsibility in supporting an Executive.
- Ability to adapt in a dynamic, mission-driven environment and maintain confidentiality at all times.
- Strong interpersonal and communication abilities, with a high degree of emotional intelligence.
- Exceptional time-management, organizational, and multitasking skills
- Ability to perform advanced, diversified and confidential administrative duties.
- Creative and flexible problem solving.
- Reliable transportation with valid driver license and proof of insurance with ability to travel to various worksites.
Preferred Qualifications:
- Associate or bachelor’s degree in business administration or related field.
- Experience supporting multiple executives across departments or functions.
- Understanding of nonprofit or educational organization operations.
Physical Requirements
- Must be able to lift up to 30 pounds at times.
- Prolonged periods of sitting at a desk and working on a computer.
- While performing the duties of this job, the employee is frequently required to walk; balance; stoop, kneel, crouch, and talk or hear.
- The ability to cope with and tolerate moderate levels of stress is also a necessity. Specific vision abilities required by this job include close vision, distance vision, depth perception and ability to adjust focus
- Ability to use hands and fingers to operate a telephone and keyboard.
