Optiver is looking for an Executive Assistant to join our Travel, Events, and Leadership Office (TELO) team. At its core, this is an Executive Assistant role—supporting senior leaders operating at the highest levels of the firm and creating the conditions that allow them to stay focused on what only they can do.

Reporting to the Head of Travel, Events, and Leadership Office, you’ll provide high-touch, proactive support to executives managing global portfolios, driving critical decisions, and representing Optiver across markets and geographies. You’ll anticipate needs, navigate complex priorities, exercise sound judgment, and bring structure and momentum to fast-moving days.

Just as importantly, you’ll be a culture carrier for our Austin office. As a highly visible and connected member of the team, you’ll help set the tone for how people experience Optiver every day—building relationships, bringing energy to the office, and finding thoughtful ways to strengthen connection and community. Culture isn’t a separate responsibility in this role; it’s embedded in how you support your executives, collaborate with teams, and show up for the office.

You’ll bring startup energy and a builder’s mindset while delivering the discretion, polish, operational excellence, and attention to detail expected at Optiver. The best person for this role will take pride in exceptional executive support while naturally making the people and environment around them better.

What you'll do

As Executive Assistant, your key responsibilities include: 

  • Own end-to-end calendar management across three senior global leaders — balancing competing demands against each executive's highest-value work
  • Proactively restructure scheduling to protect focus time and create preparation windows ahead of high-stakes meetings
  • Anticipate and resolve conflicts before they reach the executive
  • Serve as the primary point of contact for anyone seeking access to or information from your executives
  • Triage inbound requests, filter noise, and route with judgment — protecting leaders from unnecessary interruption while ensuring nothing important falls through
  • Draft and manage time-sensitive communications on the executive's behalf
  • Coordinate logistics and agendas for leadership forums, offsites, and strategic discussions
  • Capture outcomes and translate commitments into action 
  • Manage all travel end-to-end: flights, hotels, ground transport, itinerary synchronization, and real-time disruption management
  • Coordinate multi-city and international travel across complex, interlocking leadership calendars
  • Handle logistics for visiting executives and confidential candidates with precision and discretion
  • Carry and translate executive intent — ensuring decisions, priorities, and context reach the right people in the right form
  • Stay attuned to organizational dynamics and surface relevant information to leadership proactively, before it becomes a problem
  • Represent the Optiver standard in every interaction that passes through this role

Who you are

  • 6+ years supporting C-suite in a high-performance, fast-moving environment — financial services, trading, or comparable preferred
  • Exceptional judgment: the ability to distinguish what requires the executive's attention from what can be resolved independently
  • Discretion as a professional default — you will regularly handle confidential information across people, decisions, and strategy
  • High emotional intelligence: the ability to read organizational dynamics, manage relationships across seniority levels, and navigate with care
  • Strong written communication — comfortable drafting correspondence on behalf of a senior leader
  • Precision under pressure: you maintain accuracy regardless of pace
  • Proficiency in Microsoft Outlook 365 and complex multi-time zone calendar management
  • Low ego and high ownership — you take full responsibility for outcomes without needing recognition for the effort behind them
  • Legal authorization to work in the U.S. is required; we will not sponsor individuals for employment authorization for this job opening
